As a Resource Planning Co-ordinator (Airports & Clubhouses), you’ll play a vital role in ensuring our frontline airport and Clubhouse teams are in the right place, at the right time, with the right skills. Covering a wide range of UK and international airports and Clubhouse locations, you’ll focus on day‑to‑day rostering, operational coverage, and colleague experience. You’ll work closely with operational leaders to review peaks and troughs in demand, flex staffing levels accordingly, and adapt approaches to overtime sign‑up to minimise cost while maintaining excellent service. This role is all about practical planning, collaboration, and making things work smoothly for our people and our customers.
Day to day:
- Build, publish, and maintain accurate rosters that ensure effective operational coverage across airports and Clubhouses.
- Monitor daily and weekly staffing levels, identifying risks and taking proactive action to protect service delivery.
- Review peak and trough operational periods and flex staffing models to meet demand efficiently.
- Adapt and manage overtime sign‑up approaches to balance cost control with colleague fairness and engagement.
- Co‑ordinate annual leave releases and management for a workforce of 600+ colleagues, ensuring transparency and equity.
- Work closely with operational teams to resolve short‑term resourcing challenges and implement agreed contingency actions.
- Provide excellent customer service to colleagues, acting as a first point of contact for roster queries and changes.
- Troubleshoot and support colleagues with technical issues relating to their personalised rostering app.
- Ensure agreed rules, policies, and local agreements are consistently applied within rosters.
- Track staffing coverage and highlight trends, risks, and opportunities for improvement.
- Support continuous improvement in rostering processes, tools, and ways of working.
- Identify recurring patterns, seasonal trends, and constraints within rosters, feeding insight into future planning and decision‑making.
- Support the testing and refinement of new rostering approaches, rules, or system enhancements.
- Contribute to reviews of planning assumptions, overtime usage, and leave strategies to improve efficiency and colleague experience over time.
- Build knowledge of longer‑term planning processes, working alongside the wider planning team to support future capability development.
About you:
You’re organised, approachable, and thrive in a fast‑paced operational environment. You enjoy problem‑solving, supporting others, and making a real difference to day‑to‑day operations. We’re looking for someone who:
- Has experience in rostering, scheduling, or resource coordination in a large, operational environment.
- Is comfortable managing complexity across multiple locations and teams.
- Communicates clearly and confidently, with a friendly and supportive style.
- Takes pride in delivering great service to colleagues as well as stakeholders.
- Is confident using workforce or rostering systems and supporting others with system‑related queries.
- Can balance operational needs, cost awareness, and colleague wellbeing.
- Works well under pressure and adapts quickly when plans change.
- Is proficient in Excel, with confidence using spreadsheets to manage rosters, data, and reporting.

At Virgin Atlantic, we’re proud to be an equal opportunity employer. We celebrate individuality and believe our differences make us stronger. If you need any adjustments during the recruitment process, just let us know – we’re here to support you.
Over time, you’ll build a strong understanding of demand patterns, seasonal trends, and operational constraints, giving you the opportunity to contribute to improvements in rostering approaches, planning assumptions, and colleague experience.
