The Coordinator – Hotel & Travel is an integral part of the Crew Logistic team working within Operations, helping to facilitate our Pilots & Crew with hotel, travel and transportation bookings and associated arrangements. You will help to provide a seamless service, allowing our crew to concentrate on the most important part of their job, to delight our customers!
Although the below list is not exhaustive, these are the main duties that will be undertaken by the coordinator:
Ensuring that all Crew Hotel & Travel arrangements/requirements are processed and managed in a timely and most cost-effective manner.
The monitoring and, if required, manual payment provision of Crew subsistence allowances.
The accurate and efficient administration of Crew Cards, Car Park passes, supplier invoices, supplementary & variable payments.
Effective communication with pilots and cabin crew as well as with Pre-Ops and Crewing to ensure confirmations, additions or amendments are dealt with appropriately and effectively
We’re seeking somebody who is highly customer oriented, with a passion for delivering an excellent service. You’ll be a great organiser, with an eye for detail. If this sounds like you and you have the below qualities /experience, we think you would love this role!
  • Working knowledge of Virgin Atlantic systems (including Aims & Air4)and GDS booking systems an advantage
  • Confident user of Excel, Word, Teams and SharePoint essential, and other O365 tools (e.g. OneNote, PowerPoint, Power BI, Power Automate) an advantage
  • Excellent organisation, planning, communication and influencing skills with diverse stakeholders at all levels
  • Cost-conscious mindset, with a persuasive approach to ensuring best value for money decisions are made
  • Meticulous attention to detail
  • Independent style of working, with the ability to structure and prioritise own workload without supervision as well as working within a team
  • Flexible approach to a consistently changing operation & priorities, with the ability to switch from one task to another confidently under pressure or to tight deadlines
  • Aptitude for logistical problem solving
