Role Overview
As our Office Manager, you’ll support the Terminal 4 management team in delivering efficient, compliant, and professional back-office operations across finance, administration, and facilities.
Key Responsibilities
- Oversee comprehensive office operations: travel arrangements, POs, meeting coordination, document production, and stock management
- Manage uniforms, PPE, and logistics to support ramp and passenger services teams
- Maintain attendance and time‑tracking systems; monitor labour costs and report metrics weekly
- Administer office facilities: maintenance requests, vending, stationery, first aid, etc.
- Ensure regulatory compliance (Health & Safety, HAL) and adherence to internal policies
- Organise and minute operational meetings; coordinate with airlines, third-party providers, and internal departments
- Act as HR/Finance liaison: process purchase orders, invoices, and reimbursements
- Monitor office environment; resolve issues with HVAC, equipment, furniture as necessary
- Promote company values: integrity, safety, collaboration, quality of service
Essential Experience & Skills
- Proven administrative or office management experience (ideally in aviation/ground operations)
- Strong knowledge of Microsoft Office and office systems
- Experience with procurement processes, purchase orders, invoicing
- Exceptional organisation, prioritisation and attention to detail
- Excellent communication – verbal, written, and minute-taking skills
- Ability to work autonomously and under pressure
Desirable
- Understanding of airport and security procedures
- Prior exposure to HR / finance systems
- Experience supporting operational teams in a high-pressure environment
