About the role: As a Recruitment Operations Specialist, you’ll be the engine behind our Talent Acquisition function. This role sits at the heart of how we hire. You’ll own our ATS (Pinpoint), recruitment tech stack, data integrity, reporting, compliance, and process optimisation across all territories. Your work ensures our TA team can operate at pace, with clarity and confidence. You won’t be hiring directly — instead, you’ll enable brilliant hiring to happen. You’ll turn recruitment data into insight, insight into action, and action into measurable improvement. From automation and workflow design to dashboard creation and compliance oversight, you’ll ensure our recruitment processes are scalable, structured, and future‑ready. This is a strategic enablement role with real impact on quality of hire, candidate experience, and business growth.
Getting Started… Immerse yourself in our story, values, and hiring ambitions. Learn our recruitment stack (Pinpoint, HiBob and supporting tools) end‑to‑end. Build strong working relationships with TA Leads, TA Partners, Resourcing Partners, and People Operations. Audit our current recruitment processes and data health to identify early improvement opportunities.
Establishing Your Impact… Take ownership of Pinpoint configuration, workflows, and automation. Ensure recruitment data is accurate, compliant, and insight‑led. Build clear, accessible dashboards tracking time‑to‑hire, funnel health, source effectiveness, and quality metrics. Standardise structured hiring processes across markets. Improve reporting clarity for quarterly hiring reviews and workforce planning discussions.
Driving Excellence… Design and continuously optimise recruitment workflows to improve speed and quality. Champion structured, consistent interview and evaluation frameworks. Reduce manual admin through automation and smarter systems. Maintain GDPR compliance and audit‑ready recruitment documentation across all territories. Monitor recruitment spend and support reduction in agency reliance. Launch at least one process or optimisation improvement initiative per quarter.
Key Goals & Objectives: Maintain 100% accurate and compliant recruitment data across all markets. Deliver real‑time hiring dashboards used in monthly and quarterly performance reviews. Improve funnel conversion rates through process optimisation. Reduce agency spend through improved systems and sourcing insight. Ensure the TA team is fully confident and capable in using Pinpoint and recruitment tools. Maintain zero compliance breaches or data integrity issues.
Key Responsibilities: Own and optimise Pinpoint workflows, templates, automations, and integrations. Act as internal super‑user and trainer for recruitment systems. Maintain clean, accurate ATS data and ensure consistent usage across the TA team. Build and maintain recruitment dashboards and performance reports. Partner with TA Leads to translate hiring data into strategic insight. Ensure GDPR compliance, data retention accuracy, and right‑to‑work documentation processes. Manage recruitment tech vendors and job board contracts. Track and report on sourcing channel ROI and hiring costs. Continuously review and improve recruitment processes for efficiency and scalability. Support structured onboarding data handover to People Operations. Role‑model ownership, precision, and continuous improvement across the TA function.
Essential Skills & Experience: 3–5 years’ experience in Recruitment Operations, TA Systems, or HR Systems. Strong ATS expertise (Pinpoint or similar platform). Confident building reports, dashboards, and analysing recruitment data. Strong understanding of GDPR and multi‑market hiring compliance. Process‑driven mindset with a passion for optimisation and automation. Excellent organisational skills and attention to detail. Ability to influence through insight and collaboration rather than authority. Curious, proactive, and purpose‑driven — balancing structure with agility.
