Job Title: Project Administrator

Term: 12-month fixed term contract

Location: Walthamstow, East London

About the Role

VINCI Building have a fantastic opportunity for a Project Administrator to serve as the principle point of contact between the construction project team, residents and project stakeholders, responsible for all administrative duties on site as well as fostering positive relationships with residents.

You’ll be working to deliver the best quality service to the project team whilst addressing any concerns regarding the project, ensuring that they are addressed and met.

Responsible for delivering first-class administrative support and liaison to our project team in a professional and efficient manner.

About You

Candidates will have experience in a construction administrator capacity, as either a project administrator or Resident Liaison Officer. You’ll be outgoing and personable with the ability to establish and maintain effective relationships with residents from diverse backgrounds.

Well organised and empathetic, you’ll have excellent verbal, professional telephone manner and written communication skills. IT literate with experience working with all Microsoft programmes.

Duties & Responsibilities

  • Support the site team in the preparation of correspondence and reports.
  • Act as a liaison between residents and internal/external teams, as well as lead and support local resident engagement strategies.
  • Communicate project updates, schedules, and potential impacts to residents.
  • Coordinate responses to residents in collaboration with housing teams and contractors.
  • Organise meetings, briefings, and produce communication materials, including the provision of refreshments where required.
  • Ensure timely resolution of resident complaints and requests.
  • Ensure that office facilities and consumables are maintained in an organised manner.
  • Sort, maintain, copy and distribute correspondence as directed.
  • Ensure relevant paperwork is filed appropriately and maintained in an organised manner.
  • Have a high-level appreciation of the document management system (4Projects) and be able to scan, upload and retrieve documents.

About you

  • Experience in an administrative role, ideally on a construction site.
  • Outgoing and personable with the ability to establish and maintain effective relationships
  • Excellent communication, analytical, and problem-solving skills.
  • Ability to manage complaints and deliver customer-focused solutions, IT proficiency and strong organisational skills.
  • Flexibility to work outside standard hours as required.
  • Right to Work in the UK without sponsorship requirement.
