An excellent opportunity has arisen for an experienced Administration Assistant to join the Pre-Construction Team of a well-established, multi-disciplined Construction and Consulting Engineering company based in Bromsgrove. In this role, you will provide vital administrative support during the pre-construction phase of various projects.
Your day-to-day duties will include:
- Managing project-related documentation.
- Maintaining databases and Client portal systems.
- Assisting the Team with a range of administrative tasks.
This role is ideal for someone with solid experience in an office-based administration role. While prior experience within the construction industry is advantageous, it is not essential; strong general admin skills and a proactive, organised approach are what matter most.
Main Duties:
- Answering telephone calls, responding to requests for information and enquiries, and fielding these to the appropriate personnel where appropriate.
- Responding to enquiries, requests for further information, uploading and extracting information and documentation as required to the correct internal systems, including information and requests surrounding invoicing.
- Monitoring emails arriving in the group team email inboxes as directed.
- Completing and maintaining the Groups database with progress from start to finish of individual projects/jobs efficiently and to the specification required.
- Coordinating site visits with the Group and other required third parties, liaising with the relevant parties to make mutually convenient arrangements.
- Managing portals as directed, including responding to enquiries, requests for further information, uploading and extracting information and documentation as required.
- Distributing new enquiries and jobs to the correct personnel and doing all acts and tasks necessary to set up new enquiries and jobs in compliance with internal processes and systems.
- Uploading documentation invoices, work in progress, service level agreement reports, and other documentation as requested to the portals.
- Providing support and training for new and existing members of the team.
- Collating data for enquiries and instructions and formatting spreadsheets when requested to do so.
- Supporting in applications for building regulations and liaising with building control to obtain completion certifications.
- Collating the relevant information, preparing and issuing mandate documents, and uploading to the relevant portals.
- Extracting required information and compiling files in the requested format.
Excellent communication and interpersonal skills, strong organisational and time management skills, and the ability to work under pressure and meet deadlines are essential. Proficiency in using computers and relevant software is required. Portal systems admin experience is desirable but not essential.
This is an office-based Admin role which offers an early finish of 1pm on a Friday!
