The HVAC Service Manager will oversee the day-to-day operations of the service department, ensuring the timely and efficient delivery of HVAC maintenance and repair services. This role involves managing multiple projects, requiring precision, compliance, and specialised expertise. The Service Manager will lead a team of skilled technicians, maintain strong client relationships, and drive operational excellence while upholding the highest standards of quality and safety.
The HVAC Service Manager is required to work in a building services field to manage and develop the service area of the company. This manager will lead staff members who commission, repair, and maintain heating and air conditioning systems, including Gas Safe, in a primarily commercial environment. The manager routinely works directly with service engineers and other managers to ensure customer satisfaction while meeting departmental goals and objectives. Recruit, train, and mentor HVAC service technicians.
Schedule and manage workloads to ensure optimal team performance and productivity.

Oversee HVAC service and maintenance for multiple clients, ensuring compliance with strict industry regulations
Collaborate with clients to understand project-specific requirements, including temperature, air quality, and environmental controls critical to specific applications.
Customer Service
Act as the primary point of contact for client inquiries and concerns.
Ensure service requests are addressed promptly and to the highest standard.
Maintain and strengthen relationships with existing customers while identifying opportunities for service improvements and new business development.
Operational Management
Develop and implement service policies, procedures, and best practices.
Monitor and ensure compliance with health and safety regulations.
Maintain inventory levels and ensure tools and equipment are in good working order.
Oversee assigned HVAC service vehicles, ensuring they are maintained and operated as required and used according to company policy.
Monitor vehicles to ensure they are in acceptable condition for efficient work and that an adequate inventory of parts and materials is maintained.
Financial Oversight
Prepare and manage budgets for the service department.
Track and report on service department KPIs, including revenue, expenses, and profitability.
Identify opportunities to improve cost efficiency and enhance service profitability.
Review work orders, invoices, and time reports for accuracy, ensuring timely cash flow and maintaining minimal account receivables.
Technical Expertise
Stay updated on the latest HVAC technologies and industry trends.
Provide technical guidance and support to the team as needed.
Ensure all work is carried out in compliance with relevant codes and standards.
Maintain communication with suppliers and manufacturers regarding warranty issues and operational problems with products serviced by the department.
Staff Development
Establish and maintain a regular training program to ensure HVAC engineers are trained on the latest service techniques and safety procedures.
Conduct group and one-on-one meetings with engineers for training, evaluation, and communication.
Regularly participate in and/or conduct departmental safety and informational meetings.
Sales and Growth
Generate sales leads and promote maintenance/service agreements.
Manage larger installation, start-up, and commissioning projects, coordinating and directing a team of engineers and/or installing contractors.
Proven experience in a managerial role within the HVAC or mechanical services industry, with experience in high value projects strongly preferred.
Strong technical knowledge of HVAC systems, maintenance, and repair.
Excellent leadership and team management skills.
Strong problem-solving abilities and attention to detail.
Exceptional customer service and communication skills.
Proficient in using service management software and Microsoft Office Suite.
Valid UK driving licence.

Proven track record of HVAC management-related experience or an equivalent combination of education and experience.
Ability to read, interpret, and train on manuals, schematics, and control circuits.
Technical aptitude with knowledge of local codes and ability to find solutions using available resources.
