About the role

We are looking for an organised and proactive individual with a passion for supporting senior leaders to join our team. In this pivotal role, you will act as a key business partner to the UK Supply Chain and Sales Leadership Teams, providing high-quality coordination and administrative support. You will play an active part in streamlining processes and enhancing systems. Please note that this role is part-time (4 days a week, Monday-Thursday).

Key Responsibilities Include:

  • Supporting the development of key business processes & projects to ensure the smooth running of the business.
  • Anticipate UK Supply Chain and Sales Leadership team needs & taking prompt action to fulfil commitments.
  • Managing information flow to & from UK Supply Chain and Sales Leadership team.
  • Itinerary Management – diary planning and organising, scheduling meetings, planning of departmental functions/events/meetings. Anticipate the needs of the diary work schedule and deliver necessary elements of support when and where appropriate e.g. correspondence, documents, presentations etc.
  • Communication – handling phone calls, written and face-to-face requests and queries. Coordinate onboarding of new hires within the UK Supply Chain and Sales Leadership team and across the operations team where appropriate.
  • Lead and co-ordinate the UK Supply Chain and Sales Leadership team meetings schedule and supporting processes for report management for calendar year including writing agendas and action points.
  • Customer Visits and set piece events – Manage the full itinerary of visits, significant meetings (internal or external) and departmental meetings of which the UK Supply Chain and Sales Leadership team is responsible for. Liaise with customers, commercial, suppliers regarding meetings or visits both local and internationally. Supporting travel and diary requirements.
  • International leadership meetings – organise and coordinate senior leadership group meetings from across Vinarchy that are being held at the Weybridge office. Support agenda coordination and ensure facilities and all other requirements are well presented to support the agenda.
