Job Title: Sales Administrator
Location: Cumbernauld, Scotland
Salary: £13,325.50 per year
Job type: Part time 20 hours per week (hours can be discussed during interview)
We fabricate more than 1,750 sash windows a week and supply over 3,000 trade customers. Quite simply, we are the largest sash window manufacturer in Europe. We are the only manufacturers of ECOSlide PVC-U sash windows, the leading sash window system on the market. Our PVC-U vertical sliding sash windows provide long lasting durability, making them a truly outstanding addition to any property.
The Role:
We are currently looking for a Sales Administrator to be responsible for promoting sales and assisting with daily sales tasks.
Main Duties and Responsibilities:
Quotation Preparation:
Generate accurate, itemized quotations based on customer specifications, surveys, or drawings for sash and case windows.
Factor in traditional detailing, glazing options (e.g. Run through horns, trickle vents), ironmongery, finishes, and profile colour etc.
Order Processing:
Convert approved quotes into sales orders, confirming all technical and aesthetic details with the customer.
Track order progress and provide updates to clients throughout the manufacturing and delivery process.
Customer Communication:
Act as a first point of contact for enquiries via phone and email, offering clear and knowledgeable guidance on product options, materials, and finishes.
Answer questions about lead times, basic technical, aftercare, and maintenance.
Maintain a courteous, service-focused approach tailored to trade clients.
Support for Sales & RSM:
Provide administrative assistance to sales representatives,
Manage follow-ups on pending quotes, and handle customer documentation.
Collaborate with finance for invoicing, deposits, and payment tracking.
Support with tender submissions and bespoke project estimates as needed.
Documentation & Record Keeping:
Maintain organised records of quotations, orders, customer files, and historical projects.
Ensure data accuracy across CRM to support tracking and reporting.
Product Knowledge & Compliance:
Develop a strong understanding of sash and case windows.
Learn technical aspects of the software used for quotes and orders.Person specification:
Qualifications;
(Essential)
Minimum: GCSEs/National 5s (or equivalent), particularly in English and Maths.Experience;
(Essential)
Previous experience in a sales support, customer service, or administrative role is typically required (1-3 years).
Experience within the construction, glazing, manufacturing, or fenestration industry is highly advantageous.
Familiarity with interpreting technical drawings, quotations, or product specifications is a strong plus.Skills, knowledge and ability:

Strong communication and interpersonal skills (written and verbal).
High attention to detail and accuracy in data entry and documentation.
Proficient with Microsoft Office (Word, Excel, Outlook); experience with CRM systems (e.g., Salestracker, or industry-specific platforms like Business Micros) is valuable.
Ability to manage multiple tasks, prioritize workload, and meet deadlines.
