Job Title: Timetable, Resources and Student Data Manager

Location: ON-SITE, London, Canary Wharf

Salary: £40,000 – £45,000 (Depending on experience)

Hours: Full Time (Monday to Friday)

Overview:

We are looking for a skilled and detail-oriented Timetable, Resources, and Student Data

Manager to efficiently manage and coordinate timetabling, teaching & learning resource

allocations, and the control and analysis of student attendance data.

This role is essential for the effective and accurate management of academic scheduling and

student attendance at VCAD. Additionally, it is vital for ensuring our regulatory compliance

related our Partner Universities and UK Higher Education regulatory bodies.

The post holder will play a key role in advising VCAD’s Senior Management Team on timetable

scheduling, digital and physical infra-structure requirements and providing data informed

insights across the full range of VCAD teaching and learning resources and scheduling.

The Timetable, Resources, and Student Data Manager will be expected to forecast and identify

scheduling conflicts and opportunities, offering positive solutions to enhance the delivery of

VCAD’s services to our students.

Key Responsibilities:

Timetabling, Classroom and associated Teaching and Learning Resource Management

• Develop, coordinate, and maintain academic timetables in collaboration with VCAD

Directorate, VCAD Academic Departments, VCAD Student Services and VCAD Registry.

• Allocate classrooms and other estate resources, ensuring optimal utilisation of space and

facilities.

• Provide advice on, and if appropriate and necessary, oversee the allocation of teachers

and similar human resources for timetabled events.

• Collegiately resolve conflicts in scheduling and have the flexibility and ability to

coherently accommodate special requirements.

• Monitor and report on classroom usage and capacity trends.

Student Attendance Data Management

• Implement and manage attendance tracking systems to record and analyse student

attendance; using, when appropriate, sector standard platforms and software.

• Ensure timely and accurate collection, analysis and dissemination of attendance data.

• Prepare attendance reports for internal and external stakeholders.

• Identify and flag attendance issues, working with academic and student services staff to

address concerns.

System and Process Improvement

• Efficiently and ergonomically utilise and manage sector standard timetabling and

attendance software and platforms

• Advise VCAD SMT on the acquisition, implementation and use of, appropriate sector

standard timetabling, resource management and attendance monitoring software.

• Review and improve processes related to timetabling and data management to enhance

VCAD’s efficiency.

• Provide training and support to all staff and students on how to best utilise and manage

timetabling, attendance and classroom booking systems.

Qualifications and Experience:

• Undergraduate Degree. (E)

• Experience in timetabling and resource management within an education setting. (E)

• Proficiency in using data management software. (E)

• Strong analytical skills with attention to detail and accuracy. (E)

• Excellent and diplomatic communication and organisational skills. (E)

• Ability to work collaboratively and manage multiple priorities effectively. (E)

• Knowledge of UK higher education policies and practices. (D)

• Ability to work independently and prioritise tasks effectively. (E)

• Basic knowledge and understanding of academic structures and higher education
