This is a great early career opportunity for someone who is passionate about the V&A and our collections, which span 5,000 years of creativity. The main purpose of the role is to support the Philanthropy team's administration and coordination in delivering exceptional donor care and administration across its stewardship and cultivation activities, for example, high profile exhibition openings, bespoke private tours, donor communications, funding proposals, reports and more.

What will you be doing?

  • Event planning, coordinating guest lists, managing contact details, processing high volumes of data, and coordinating follow up.
  • Assist with the Travel with the V&A programme, coordinating itineraries, invitations, print materials, study sessions and briefing notes.
  • Assist with the stewardship and administration for the Photographs Acquisition Group, V&A Americas Foundation and the V&A Advisory Council, as well as other strategy groups within the Museum.
  • Coordinate private visits and bespoke access to the V&A's collections for donors and other guests.
  • Assist with drafting fundraising proposals, funder reports, newsletters and other donor correspondence.
  • Support the Philanthropy team with identifying potential donors for priority FuturePlan projects.
  • Update the Museum's Customer Relationship Management (CRM) system with accurate, up-to-date and concise record keeping.
  • Alongside the team's other Philanthropy Officer, lead on the daily administration and maintenance of the key supporter list.
  • Support the implementation of the V&A's policy for acknowledging donors across its sites, ensuring that supporters are credited for gifts in all relevant galleries, exhibitions, speeches, print materials, web and/or filmed works.
  • Provide administrative support to the team as required, such as, taking phone calls, writing letters, overseeing mailings, organising meetings and catering, greeting Departmental visitors, updating the team diary with key events and exhibition touring dates, and representing the V&A in a professional and personable manner.
  • Assist at Development events, some of which are outside of normal working hours (time in lieu will be offered at the discretion of your Manager), with checking in and guiding guests, assisting guests as required, liaising with other event staff and helping with practical logistics.

Who are we looking for?

  • Previous experience providing either high-quality donor care or high-quality customer service, as well as interacting with a variety of senior stakeholders (both internally and externally).
  • Confident and well-presented with a professional telephone manner.
  • Excellent interpersonal skills and a flexible team player, comfortable working both independently and with colleagues.
  • Competent handling delicate subjects and confidential information, in addition to processing high volumes of important data and identifying opportunities to develop processes.
  • Strong written communication skills with exceptional attention to detail and experience of proofreading.
  • Proven ability in communicating clearly, with the ability to adapt your communication style for different groups across a variety of contexts.
  • The ability to use MS Office and other relevant IT systems as appropriate for the role, with the ability to complete mail merges and manipulate data tables in Excel.
  • Proven ability to manage a high workload and multiple priorities whilst meeting conflicting deadlines.
  • Demonstrable IT literacy with the ability to utilise or learn CRM systems (such as Microsoft Dynamics, Tessitura, Raiser’s Edge); design software (such Adobe InDesign, PDF Editor); Microsoft Office suite (such as Word, Excel, PowerPoint, Planner).
  • Understanding or experience of fundraising.
