The mission of the Collections Care and Access division is to manage, preserve, and provide access to the V&A’s collection in both physical and digital format, working across multiple V&A sites, at South Kensington, Bethnal Green and in Stratford, and at offsite storage locations in and outside London.
The division is made up of the following departments: Conservation, Technical Services, Collections Management, Photography and Digitisation and Collections Access.
Our specialist teams bring excellence and innovation to the long-term care and management of the V&A’s collections, supporting access to the collections, the V&A’s public programmes of exhibition, loan and display, and research initiatives.
The role of Collections Care and Access Coordinator sits at the heart of the division, providing efficient and effective central coordination and administrative support, and acting as PA for the Director of Collections Care and Access.
This is an active and committed team, working across a wide range of museum activities and sites, and you will be proactive in responding to the needs of the Division, ensuring excellent communication with colleagues internally and externally.
We are looking for someone with significant interpersonal skills, discretion with confidential matters at all times, and excellent written communication skills, including the ability to build relationships with a wide range of colleagues of varying levels of seniority and international external contacts.
Who are we looking for?
- Proven experience working in a comparable role which has involved providing PA or administrative coordination at senior level and a wide-range of administrative and office management responsibilities.
- Significant interpersonal skills and excellent written communication skills, including the ability to build relationships with a wide range of colleagues of varying levels of seniority, and international external contacts.
Discretion with confidential matters at all times.
- Proven experience of budget and financial administration, including familiarity with finance processes and proven knowledge and use of financial management systems.
- Good numerical skills, with experience in handling numerical data and presenting it in a methodical, coherent and accurate manner in spreadsheets and other formats.
- Excellent standard of written English and ability to produce clear and concise notes and minutes.
Demonstrable high level of expertise in office IT systems including spreadsheets, databases, and Microsoft Outlook.
High level of proficiency in Power Point, Visio and Excel is essential.
- Ability to work accurately, with excellent attention to detail and to tight deadlines, managing multiple tasks and conflicting demands.
- Evidence of consolidating information and ensuring reports and documents are presented in a cohesive, professional and engaging manner.
- Excellent organisational skills; ability to work on own initiative with confidence and make good judgements and independent decisions.
- Ability to work flexibly across V&A London sites, to support internal and external meetings and external professional contacts.
