Position Overview
We are seeking a friendly, organized, and dependable Service Receptionist / Scheduler to join our health agency team. This person will be responsible for welcoming clients, answering phones, scheduling and coordinating services, maintaining accurate records, and supporting the daily operations of the agency.
The ideal candidate must be highly attentive to detail, organized, professional, and able to communicate effectively with clients, caregivers, families, and staff.
Key Responsibilities
- Answer incoming phone calls and respond to client and staff inquiries professionally.
- Greet clients and visitors in a friendly and respectful manner.
- Schedule, coordinate, and confirm client services and appointments.
- Maintain accurate schedules and update changes promptly.
- Communicate schedule changes and important information to clients, caregivers, and agency staff.
- Enter and maintain client and service information accurately in agency systems.
- Monitor schedules for conflicts, missed visits, or other issues and report them promptly.
- Assist with administrative tasks, filing, scanning, faxing, and documentation.
- Maintain confidentiality of client and agency information.
- Follow agency policies, procedures, and applicable healthcare regulations.
- Provide excellent customer service and handle concerns professionally.
- Work closely with management and service staff to ensure clients receive timely and appropriate services.
Required Qualifications
- High school diploma or equivalent.
- Previous receptionist, scheduling, healthcare, home care, or office administration experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time-management skills.
- Exceptional attention to detail and accuracy is required.
- Ability to manage multiple tasks and priorities in a busy environment.
- Comfortable using computers, email, scheduling systems, and Microsoft Office or similar programs.
- Dependable, punctual, professional, and team-oriented.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Bilingual skills are a plus.
