Position Overview:

TheSenior Executive Assistant & Board Liaisonplays a pivotal role in supporting the operational excellence of Vibrant Emotional Health’s (“Vibrant”) Executive Leadership Team and the governance integrity of the organization’s Board of Directors and its committees. This highly skilled professional provides executive-level administrative support to members of the Executive Leadership Team and leads the coordination of board and committee activities, with a strong focus on comprehensive and compliant meeting documentation.

The successful candidate will demonstrate exceptional organizational skills and judgment, discretion, and attention to detail, with deep experience in executive administration and nonprofit governance. This role demands the ability to manage complex responsibilities with professionalism, efficiency, and confidentiality in a fast-paced, mission-driven environment.

This position is based in New York City and operates in a hybrid work environment. Limited early morning, evening, or occasional weekend hours may be required to support Board or CEO-related meetings and events.

Key Responsibilities:

Executive Support

  • Provide high-level administrative support to one or more members of the Executive Leadership Team, including calendar management, meeting preparation, travel coordination, and handling of confidential communications.
  • Draft, edit, and manage correspondence, presentations, talking points, and briefing materials for internal and external meetings.
  • Coordinate and support key strategic meetings, retreats, and engagements involving senior leadership, board members, and stakeholders.
  • Serve as a trusted liaison between the Executive Leadership Team and internal/external constituents, ensuring timely and accurate communication.

Board Governance & Committee Administration

  • Manage the planning and execution of Board of Directors and Board Committee meetings, including scheduling, agenda finalization, document preparation, and logistics.
  • Draft, edit, and finalize clear, consistent, and legally compliant meeting minutes aligned with New York City and other relevant statutes, IRS nonprofit requirements, and governance best practices.
  • Maintain an understanding of each Board Committee’s charter, ensuring meeting practices and documentation align with their specific governance responsibilities.
  • Partner with executive leadership and legal counsel to ensure adherence to organizational bylaws, regulatory requirements, and nonprofit governance standards.
  • Maintain organized, secure, and accessible archives of board-related documents, including resolutions, agendas, minutes, and governance records.
  • Monitor and incorporate updates to local, state, and federal laws and best practices related to nonprofit board governance.

Cross-Functional Coordination

  • Work closely with the General Counsel, Chief Operating Officer, and other senior leaders on governance, compliance, and board engagement initiatives.
  • Support special projects, events, and executive priorities as assigned by the CEO or Executive Leadership Team.

Required Qualifications:

  • Minimum 7 years of progressive experience in executive-level administrative support, with at least 3 years supporting a CEO or other c-suite leader.
  • Demonstrated experience managing board operations and preparing formal, board-level minutes in alignment with legal and governance standards.
  • Deep knowledge of nonprofit governance, including New York City regulations, IRS requirements, and national best practices.
  • Exceptional writing, editing, and verbal communication skills.
  • Proven ability to manage complex schedules, multiple deadlines, and sensitive information with discretion and sound judgment.
  • High level of professionalism, organizational savvy, and the ability to work independently while engaging cross-functionally.
  • Proficiency in board management and productivity tools (e.g., Microsoft Office Suite, Adobe Acrobat).

Preferred Qualifications:

  • Bachelor’s degree in Public Administration, Legal Studies, Nonprofit Management, Business, or a related field.
  • Governance or executive administration certification.
  • Experience working in a large, complex nonprofit or mission-driven organization with a national footprint.
