What you’ll do The Information Management Specialist is responsible for designing, configuring, and maintaining secure document libraries and structures within Viasat digital systems. This role ensures the effective migration, governance, and lifecycle management of critical business documents, with a specific focus on Controlled Technical Data, sensitive information, and regulatory records. You will act as a technical authority for relevant compliance activities, translating complex regulatory and Viasat frameworks (such as Viasat Information Management policies, ITAR, EAR, and UK Security Classifications) into rigid information architectures. You will maintain optimized content that ensures approved BU personnel have immediate, intuitive access to relevant information when they need it. By configuring systems that balance availability with strict data sovereignty and access protocols, you will enable the International Government Business Unit to operate with speed and agility while remaining technically compliant with international regulations.
- Document Storage Configuration & Secure Design: Design and implement libraries specifically architected to handle data with differing information classifications. Translate strict regulatory access requirements (e.g., citizenship-based access, Five Eyes restrictions) into technical permissions, security groups, and conditional access policies. Configure logic and metadata to segregate data between different projects, licenses, and Technical Assistance Agreements (TAAs).
- Document Management & Classification: Manage the metadata taxonomy required to tag hardware, software, and technical data with their appropriate regulatory codes (e.g., ECCN, USML, Security Classification). Lead the migration of sensitive datasets from legacy repositories to target libraries, ensuring that classification tags and security labels travel with the data. Ensure digital assets are correctly tagged to support automated Data Loss Prevention (DLP) and sensitivity labelling.
- Information Governance & Policy Implementation: Translate written regulatory policies into system configurations, ensuring "compliance by design" in all digital workflows. Establish and maintain digital procedures for the secure transfer of controlled technical data, ensuring all file exchanges are logged and traceable. Ensure information practices align with AIIM, ARMA, and strict international trade compliance standards (ITAR/EAR/UK Export Control).
- Records Management & Audit Readiness: Administer the digital lifecycle of regulatory authorizations and trade compliance records, ensuring they are retrievable for government audits. Monitor and enforce retention schedules, legal holds, and disposition workflows, specifically for contractually required data. Support internal audits and eDiscovery by retrieving accurate historical data and demonstrating system-level compliance controls.
- Training & Change Management: Deliver workshops and documentation to Sales, Business Development, and Engineering teams on how to use Viasat’s systems to handle controlled data correctly. Create user guides for secure collaboration, ensuring end-users understand how to share data without violating system-imposed security controls. Act as a digital liaison for bid and project teams, configuring rapid-response secure environments for sensitive opportunities. Design, implement, and optimize document libraries, metadata structures, taxonomies, and workspaces. Create and maintain workflows, permissions, and access controls to ensure secure document collaboration.
- Document Management & Migration: Lead or assist in the migration of documents from legacy repositories to target libraries, ensuring minimal disruption and data integrity. Map metadata and ensure appropriate classification, tagging, and storage of migrated content.
- Technical Writing: Reformat key into standard formats when required.
- Template Management: Develop, standardize, and maintain document templates. Ensure templates meet brand, regulatory, and accessibility standards.
- Information Governance & Policy Support: Contribute to the development, implementation, and communication of information governance policies and procedures. Ensure practices align with policies, AIIM, ARMA, and other relevant standards (e.g., ISO 15489, GDPR, CCPA where applicable).
- Records Management: Administer records management processes across the full information lifecycle, including creation, use, retention, archiving, and disposition. Monitor and enforce retention schedules, legal holds, and disposition workflows.
- Compliance & Risk Management: Support audits, eDiscovery, and compliance checks related to information management practices. Identify and mitigate information risks by ensuring appropriate controls are in place.
- Training & Change Management: Deliver workshops, training sessions, and documentation to support end-user adoption of information management tools and best practices. Act as a liaison between teams, business units, and support groups to ensure alignment on information management goals.
What you’ll need Bachelor’s degree in Information Management, Library Science, Computer Science, or related field (or equivalent experience). 3+ years of experience in Information Management System configuration and administration. Demonstrable experience managing "Restricted," "Classified," or "Export Controlled" (ITAR/EAR) data environments. Ability to translate complex regulatory rules into technical specifications, folder structures, and permission models. Strong knowledge of records management frameworks (ISO 15489) and familiarity with United Kingdom Security Classifications. Existing UK security clearance (e.g., SC or above) or the ability to obtain it.
What will help you on the job Microsoft 365 Certified: Teams Administrator Associate or SharePoint Administrator Associate. Experience in the configuration and administration of Office 365 (SharePoint, Teams, OneDrive). Administration experience of KnowBe4 Egress. Familiarity with international regulatory regimes (ITAR, EAR, UK Export Controls) and how they impact data architecture. Experience with Information Rights Management (IRM) tools and Sensitivity Labelling in Microsoft Purview. Certified Information Professional (CIP) – AIIM. Experience working in a matrixed environment supporting Defence or Government contracts.
