Job Description
As the Global Bid Roster Coordinator, you will play a vital role in orchestrating the staffing and operational discipline of our global bid coaching and pursuit enablement activities. You will own and manage the allocation of bid coaches and related pursuit resources across priority opportunities, ensuring appropriate coverage, governance adherence, and process consistency across geographies. This role is essential to ensuring our most strategic pursuits are resourced effectively and executed in line with internal best practices and compliance expectations. You will collaborate with pursuit leaders, bid coaches, client partners, and business operations teams to maintain an agile, transparent, and wellâgoverned global pursuit support system.
Key Responsibilities
- Global Staffing & Roster Management
- Maintain and manage the global bid coach roster, including availability, skillsets, and time zones.
- Assign appropriate resources to pursuits based on complexity, region, timelines, and coach expertise.
- Ensure equitable workload distribution and support talent development across the bid coaching community.
- Forecast demand and support capacity planning for upcoming pursuits.
- Governance & Compliance
- Enforce adherence to pursuit governance protocols, including pursuit approvals, compliance documentation, and checkpoint reviews.
- Track pursuit milestones and flag risks related to missing steps or gaps in resource allocation.
- Support reporting on pursuit activity, resourcing efficiency, and outcomes for leadership visibility.
- Process Optimisation & Tooling
- Maintain accurate records in pursuit tracking systems and resource allocation platforms (e.g., Salesforce, Smartsheet, or internal tools).
- Identify and implement opportunities for improving pursuit operations, coordination workflows, and global consistency.
- Coordinate training, onboarding, and communications for new bid coaches or support personnel.
- CrossâFunctional Collaboration
- Serve as a central liaison between bid coaches, pursuit managers, sales teams, and leadership stakeholders.
- Collaborate with HR, Finance, and Compliance to ensure pursuit efforts are aligned with firmâwide policies and commercial frameworks.
- Support initiative rollouts related to pursuit methodology, tools, or compliance enhancements.
Qualifications
- 3â6 years in project coordination, professional services operations, staffing, or pursuit support roles.
- Exposure to largeâscale proposal environments, preferably in consulting, legal, or global mobility services.
- Familiarity with pursuit lifecycle, governance models, and resourcing operations in matrixed organisations.
Skills & Competencies
- Highly organised and detailâoriented, with strong followâthrough and prioritisation skills.
