Via East Midlands are seeking a highly professional and proactive Executive Assistant to provide dedicated support to our Managing Director and Senior Leadership Team based at our Head Office in Bilsthorpe. This role is pivotal in ensuring the smooth and efficient operations of Vias Senior Leadership team, requiring exceptional organisational skills, discretion, and the ability to operate in a fast-paced, senior leadership environment.
Key Responsibilities
- Executive Support: Support the management of the MDs and Senior leadership teams inboxes, drafting correspondence, preparing reports, briefing documents, and presentations.
- Meeting & Diary Management: Schedule and coordinate meetings with internal and external stakeholders, including venue and travel arrangements.
- Board Support: Prepare and distribute Board meeting packs, attend meetings, take minutes, and track follow-up actions.
- Administrative Excellence: Deliver high-quality administrative support across document production, data handling, and records management.
- Communication & Liaison: Act as the first point of contact for the MDs office, handling queries with professionalism and tact.
- Information & Action Management: Maintain accurate records of meetings and decisions, follow up on actions, and support project-related coordination.
What We're Looking For
- Proven experience in a similar EA or PA role at senior executive level.
- Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills and the ability to interact effectively at all levels.
- Highly organised, discreet, and able to prioritise and multitask.
- Confident, professional, and proactive approach with strong attention to detail.
- Full UK Drivers Licence with the ability to travel across our Nottinghamshire Offices.
