The VHR group is a multi-award-winning technical recruitment business, headquartered in London, supplying contract and permanent technical and professional staff to clients within the Aerospace & Aviation, F1 & Automotive, Civils & Infrastructure and Marine sectors.
VHR employs colleagues across the UK, Europe, the Middle East and North America and continues to invest in technology that improves service, efficiency, data quality and the experience of its people and customers.
The Opportunity
We are seeking an enthusiastic and technology-focused Systems Trainer to support the rollout, adoption and effective use of VHR’s business systems.
This role could particularly suit someone from a recruitment background who has strong practical experience of using recruitment technology and enjoys helping colleagues get the best from systems and processes.
Previous formal training experience is not essential. The successful candidate may have worked as a recruiter, resourcer, recruitment administrator, operations professional or systems super-user and developed a strong understanding of recruitment workflows and technology. VHR will support the successful candidate in developing structured training, presentation and learning-content skills.
The Systems Trainer will deliver practical systems guidance, maintain user resources and provide follow-up support across VHR’s technology stack. The role will work closely with the Digital Solutions Executive so that new functionality, workflows and system improvements are translated into clear guidance and successfully adopted across the business.
The role will support learning and adoption across VHR’s evolving technology environment, including but not limited to:
- Bullhorn CRM, Bullhorn Automation, Bullhorn Amplify and Bullhorn Analytics.
- Microsoft Copilot, Microsoft 365 applications, Microsoft Forms and Power Automate.
- RSM, including VHR’s timesheet and pay/bill processes.
- Sage Intacct and related back-office finance processes.
- Awesome Docs and other approved recruitment, AI, automation and business systems introduced by VHR.
The successful candidate will not be expected to know every platform when joining. The priority is strong practical recruitment-technology experience, digital confidence, curiosity, the ability to learn unfamiliar systems quickly and a clear, patient communication style.
Key Responsibilities
Systems Guidance and Training
- Deliver practical systems training and guidance to new starters and existing colleagues through demonstrations, workshops, webinars, one-to-one support and refresher sessions.
- Explain recruitment workflows and system processes using realistic VHR examples.
- Adapt explanations for different roles, locations and levels of digital confidence.
- Provide follow-up support that helps colleagues apply learning and use systems consistently.
Training Content and Documentation
- Create and maintain clear user guides, quick-reference sheets, videos, FAQs, process maps and knowledge articles.
- Keep resources accurate when systems, workflows or business processes change.
- Maintain an organised central library of approved, version-controlled guidance.
- Help build structured onboarding and role-based learning pathways for VHR’s core systems.
Adoption and Continuous Improvement
- Support the rollout of new systems, features, automations and process changes.
- Gather user feedback and identify recurring difficulties, knowledge gaps and opportunities to simplify guidance.
- Promote good practice in data quality, security, compliance and responsible use of AI and business systems.
- Use recruitment experience to help ensure guidance is practical and relevant to day-to-day users.
Collaboration and Coordination
- Work closely with the Digital Solutions Executive to understand new solutions, test user scenarios and prepare rollout materials.
- Liaise with managers, system users and subject-matter experts to identify support needs and prioritise delivery.
- Support user acceptance testing where this helps confirm that training and guidance reflect the agreed process.
- Coordinate schedules, invitations, attendance records, feedback and follow-up activity.
Evaluation and Reporting
- Monitor participation, learner feedback and completion of assigned systems learning.
- Use practical exercises, knowledge checks and observed system use to assess understanding.
- Provide concise updates on delivery, adoption risks, recurring support themes and recommended next steps.
- Help demonstrate value through improved confidence, consistent processes, stronger data quality and fewer avoidable support requests.
Required Experience
- Practical experience of using recruitment technology, such as a CRM, ATS, automation platform, analytics tool or timesheet/pay-bill system, within a recruitment or staffing environment.
- A good understanding of recruitment workflows and how technology supports recruiters, resourcers, administrators and managers.
- Confidence explaining systems and processes to colleagues, either individually or in small groups, with the potential to develop formal training delivery skills.
- Ability to learn systems quickly and translate technical or process information into simple, practical guidance.
- Ability to produce clear written instructions, process notes or user guidance. Previous experience creating formal training materials is helpful but not essential.
- Patient, approachable and service-focused, with strong listening and questioning skills.
- Organised and reliable, with strong attention to detail and the ability to manage competing priorities
- Proactive and solution-focused, with confidence to identify gaps and suggest practical improvements.
- Strong written and spoken English.
- Hands-on experience with Bullhorn or another recruitment CRM/ATS, particularly where the candidate has supported colleagues, improved system use or promoted good data practices.
- Experience with Microsoft Copilot, Microsoft 365, recruitment automation, analytics or AI-enabled business applications.
- Exposure to RSM, timesheet/pay-bill systems, Sage Intacct or finance-related recruitment workflows.
- Experience acting as a system champion, super-user, buddy, coach or onboarding support within a recruitment business.
- Previous training, coaching, onboarding or instructional-design experience. This is desirable rather than essential.
- Experience supporting system implementations, process changes, testing or user adoption initiatives.
Qualifications
- A recruitment, business systems, technology, learning and development or related qualification, apprenticeship or equivalent practical experience.
- Relevant recruitment systems experience will be valued alongside formal qualifications.
- Microsoft, CRM, analytics, training or systems certifications would be advantageous but are not essential.
Pay range and compensation package
- Hybrid working between the office and home, in line with VHR arrangements.
- Private healthcare and pension contributions.
- Career development and financial support for relevant professional qualifications.
