We are seeking a proactive and highly organised Office & Facilities Assistant to support the smooth running of our office, facilities, and front-of-house operations. This role is key to ensuring a well-maintained, welcoming, and efficient working environment for employees and visitors.

Working Pattern:

  • Monday to Thursday 9:30am to 2:30pm (5 hours per day)
  • Friday 9:30am to 1:30pm (4 hours)

Your responsibilities:

  • Prepare and maintain coffee machines for daily staff use
  • Manage and replenish kitchen supplies (e.g. coffee, tea, milk, sugar, refreshments)
  • Coordinate catering for meetings and team events
  • Maintain office supplies, including stationery
  • Ensure upkeep of office furniture and plants
  • Support management of utilities (heating, air conditioning)
  • Set up meeting rooms and support internal events
  • Maintain office cleanliness and oversee waste management
  • Arrange couriers and support printing/binding requirements
  • Liaise with external contractors and building management
  • Coordinate with IT and external providers to ensure systems run effectively
  • Manage staff and visitor access passes, including security systems
  • Distribute incoming and outgoing mail and parcels
  • Conduct health and safety inductions for new starters
  • Provide reception and hospitality support when required
  • Oversee cleaning services and related payment processes
  • Support health and safety compliance across the office
  • Assist with parking system management
  • Carry out additional duties as reasonably required, including basic IT support

  • Proficient in Microsoft Office (Word, Excel, Teams)
  • Basic maintenance/DIY, problem-solving, and IT skills
  • Flexible, with willingness to work occasional paid overtime
