You are pivotal in representing Verve as the first face our employees, clients, partners, VIP visitors, and international colleagues see each day. Being confident, personable, and proactive, you take pride in delivering exceptional service and creating a welcoming environment. You bring experience managing a busy office, understand health and safety building regulations, and thrive in a fast-paced setting where juggling priorities comes naturally and no task is too big or too small.

We have approximately 130 employees in London, and our Covent Garden London office spans three floors. You'll be responsible for opening and setting up the office on Tuesday, Wednesday, and Thursday (Monday/Friday demand based) at 8 am, so good time-keeping and reliability are key. This position is available between ***** hours per week, based on mutual agreement.

What You Will Do

  • You'll be a consistent, cheerful, and professional face of Verve, ensuring the office environment reflects our company values and culture for employees, clients, and visitors.
  • Manage and oversee all health and safety procedures, including first aid, the coordination of regular PAT testing, DSE checks, and fire safety inspections to ensure full regulatory compliance.
  • You will be responsible for opening and setting up the office each day for a prompt 8 am start, ensuring the office is fully operational, from coffee, breakfast, and music across all three floors to overall readiness for the day.
  • Meet and greet visitors and manage incoming calls, redirect messages, while ensuring the reception area, meeting rooms, and general office are clean, tidy, and presentable at all times.
  • Manage office facilities, including identifying and resolving maintenance issues related to furniture, fittings, and equipment, overseeing third-party service providers, and ensuring all office-related contracts and renewals are kept up to date.
  • Where appropriate, research alternative suppliers and provide recommendations to improve service quality, efficiency, or cost effectiveness.
  • Manage office supplies and stationery, including weekly shopping, event items, and the coordination of office lunches on Tuesdays, Wednesdays, and Thursdays.
  • Assisting with meeting room bookings and video conferencing equipment, especially for monthly and quarterly internal events.
  • You will also be heavily involved in events and will be the go-to person for creating high morale and amazing events and parties for the team.
  • Manage all travel coordination and support, including guidance on travel policies and access to booking platforms.
  • Manage office security and onboarding processes by following established procedures for new starters and leavers, and support the People Team by coordinating floor plans and ensuring desks, equipment, and system access are set up in a timely manner.
  • Assist the IT department with day-to-day support, including ordering equipment and escalating issues.

What You Will Bring

  • 2+ years managing a busy office environment, ideally as an Office Manager.
  • Previous health and safety management is highly desirable.
  • Have an approachable personality; communication is key, as you will be the heart of the office and the embodiment of our culture and values.
  • You not only have excellent attention to detail, but you will also be someone who generally cares about our visitors and office environment.
  • Ability to be resourceful, solution-oriented, and proactive in dealing with issues that may arise, whilst always looking for the most cost-effective option.
  • Ability to organise, multitask, and prioritise.
  • Proactive approach; we like creative people and creative solutions.
