We are working with a highly reputable facilities management contractor who provide all-round building maintenance services to clients throughout the UK.
Due to continued growth, they are looking to recruit a Compliance/Service Administrator to join their team in Henley-in-Arden.
This is a varied role with genuine ownership, supporting the business to ensure client buildings remain safe, compliant and audit-ready.
You will be responsible for monitoring statutory compliance, managing certificates and remedial actions, maintaining accurate compliance records and supporting the continued improvement of processes and systems.
The Role
- Monitor compliance across client buildings against statutory and contractual requirements, including fire, electrical/EICR, gas and water/Legionella (L8).
- Track planned maintenance and PPM completion against SFG20 and contractual schedules.
- Proactively chase overdue or at-risk compliance tasks.
- Manage statutory certificates and reports, ensuring they are logged, stored and renewed within the correct timescales.
- Track remedial actions following inspections and reports through to completion.
- Maintain accurate compliance information within CAFM and asset management systems.
- Keep asset registers, O&M manuals, RAMS and certificates up to date.
- Maintain engineer competency and training records, including Gas Safe, 18th Edition, IPAF/PASMA and asbestos awareness.
- Monitor qualification and training expiry dates and flag renewals in advance.
- Prepare compliance reports and dashboards for clients and internal management.
- Support Health & Safety and quality administration, including RAMS, permits to work, incident records and audit preparation.
- Support accreditations and audits including Safe Contractor, CHAS and ISO standards.
- Ensure subcontractors have the correct approvals, insurance and certification before attending site.
- Respond to compliance queries from clients, suppliers and internal teams.
- Help identify ways to improve, simplify and automate compliance processes.
- The Person
The successful candidate will
- Have previous experience within a compliance, administration or coordination role, ideally within facilities management, M&E, construction or property.
- Have a good working understanding of statutory compliance within the built environment.
- Be highly organised with excellent attention to detail.
- Be confident working with systems, spreadsheets and compliance data.
- Be comfortable learning new systems and processes.
- Have strong written and verbal communication skills.
- Be confident dealing directly with clients, suppliers and subcontractors.
- Be proactive and comfortable taking ownership of deadlines and outstanding actions.
- Familiarity with SFG20 or CAFM systems would be advantageous.
- An H&S qualification such as IOSH Managing Safely or NEBOSH would be beneficial.
- An interest in automation and process improvement would be advantageous.
- A full UK driving licence would be beneficial for occasional site and client visits.
