Vertex Associates are proud to be partnering with a prestigious education institute in hiring an Executive Support Assistant on a temporary basis. This is a hybrid position consisting of 3 days a week in their London office.
Duties and responsibilities:
- Provide comprehensive diary management support to members of the Senior Management Team
- Coordinate complex meetings with internal colleagues and external stakeholders
- Manage meeting requests, invitations and scheduling priorities efficiently
- Organise virtual and in-person meetings, including venue bookings, travel, catering and logistics
- Prepare and distribute agendas, briefing papers and meeting materials in advance
- Build a strong understanding of senior leaders' priorities to support effective time management
- Arrange domestic and international travel, including itineraries and accommodation
- Process expenses, invoices and support departmental budget administration
- Support office management activities, including record keeping, filing, stationery orders and general administration
- Assist with organisational events, projects and wider administrative process improvements across the business
Requirements:
- Previous experience in an administrative, executive support or business support role
- Experience providing proactive support to senior stakeholders or leadership teams
- Excellent diary management and meeting coordination skills
- Strong written and verbal communication abilities
- Exceptional organisational skills with the ability to manage multiple priorities simultaneously
- Confident building relationships with a wide range of internal and external stakeholders
- Strong attention to detail and ability to handle confidential information with discretion
- Good IT skills, including Microsoft Office applications such as Word, Excel and PowerPoint
- Interest or experience within the education, arts, cultural or not-for-profit sectors would be advantageous
