We are working with a leading law firm to recruit an Administrator/Junior Secretary to join the Development Sales team within their busy Real Estate & Projects department in London. The Real Estate team sits at the heart of the firm's business. With 18 dedicated partners, the team works on a wide variety of property transactions for a broad range of clients, from registered providers of social housing and care homes through to private developers, acting on sites and developments ranging from a handful of units to thousands, as well as portfolio and street property acquisitions and disposals.
This is a great opportunity for someone organised, proactive and detail-focused to provide comprehensive secretarial and administrative support to the team, helping to meet client expectations in line with the department's objectives.

- Reporting to: Amber Cooper, Secretary Coordinator
- Experience: Previous experience in a similar role or a CILEx Diploma for Legal Secretaries qualification is desired, but not essential
- Interview process: One stage, in-person interview
What you'll be doing
- Providing general administrative support for the team, e.g. filing, printing, scanning, and monitoring post and incoming couriers
- Sending out completed documents and producing cover letters
- Providing additional support across a wide range of tasks as part of the secretary inbox
- Producing bills and dealing with invoices and completion monies
- Assisting fee-earners with the opening of new files
- Receiving phone calls from clients, routing them or taking messages as appropriate, and liaising with external clients
- Checking that completion monies have gone out in a timely manner
- Using the firm's search provider to submit searches
- Organising and maintaining tidy, accurate files in both hard copy and electronic form
- Providing cover and support to other secretaries within the team as required
What we're looking for
- A CILEx Diploma for Legal Secretaries qualification would be preferable, but is not essential
- High attention to detail, producing work that is consistently of a high standard
- Someone who shows initiative and is self-motivated
- The ability to prioritise workload to increase efficiency for the team
- A typing speed of 50+ wpm, together with relevant legal secretarial experience
- Experience in both audio and copy typing
- Advanced knowledge of Microsoft and internet applications
- The ability to co-ordinate large documents using Word
- Excellent written and verbal communication skills
- The ability to convey clear, concise information to clients and external organisations
