We are based in London and the US, and we’re looking for an Operations Managerto join our team on a 4-month contract. This is a pivotal role ensuring ourstudio runs effectively, projects are resourced smoothly, teams are well-supported,and our world-class creative standards are maintained. Our ideal candidate will behighly organised, proactive, and able to build strong relationships with our team,pool of freelancers, and suppliers.
Role
Host weekly resourcing sessions and flag over or under capacity issues
Anticipate resourcing needs based on pipeline, team holidays, upcoming briefs and liveproject requirements
- Make enquires on freelance availability and keep the project management team updated
Maintain and update our resourcing software daily to reflect ever changing workflows andclient needs
- Check timesheets for the week beforehand and ask people to log their time accordingly
- Make sure all freelancers are under contract, with the necessary self-employment checkscompleted
- Help onboard and offboard freelancers
- Provide administrative HR support, including managing holiday requests and entering sickdays
- Open our studio each day, make sure our space is welcoming and vibrant
- Conduct studio walk-arounds and maintain a well-organised, immaculate space
- Handle the phones, welcome visitors, and provide refreshments for meetings
- Order studio supplies and manage our weekly shop
- Organise studio events such as our Christmas party, plus weekly and monthly activities tohelp build the culture
- Book couriers and travel, and help with associated visa applications
- Run occasional errands to keep things running smoothly
