HJS is a specialist in access systems, operating across residential, commercial, and public sector environments. Part of the Ventro Group, we deliver installation, maintenance, and repair of access control systems to housing associations, local councils, and commercial clients - always with a focus on safety, compliance, and service excellence.
We're looking for a highly organised and proactive Projects Administrator to join our team. This is a varied and fast-paced role sitting at the heart of our operations - you'll be the central point of coordination between our engineers, clients, suppliers, and internal teams, ensuring contracts are managed efficiently and service levels are consistently met.
You'll be comfortable managing a busy workload, handling everything from scheduling engineer visits and booking access with tenants, to raising quotes, processing invoices, and keeping client portals up to date. No two days will be the same.
Key Responsibilities- Manage contracts for the maintenance and repair of access systems, ensuring all SLAs (response times, fault resolution) are met.
- Log and schedule jobs, tracking progress through to completion and following up on outstanding works.
- Book engineer visits with tenants, housing officers, and client contacts, coordinating access to occupied buildings.
- Handle contract variations, obtain quotes, and route work to the estimating team where required.
- Order parts and liaise with suppliers to support timely job completion.
- Update client portals and communicate job status updates via email.
- Raise and process invoices accurately and in a timely manner.
- Liaise with engineers and ensure works meet required standards and client specifications.
- Prioritise urgent issues including locked-out residents and security risks, coordinating emergency repairs as needed.
- Investigate recurring faults or system failures and escalate appropriately.
- Maintain thorough documentation to support audits, inspections, and client reporting.
- Work collaboratively with housing associations, local councils, and commercial clients to deliver an excellent service.
- Previous experience in a contracts administration, service coordination, or similar operational role.
- Strong organisational skills with the ability to manage multiple priorities under pressure.
- Confident communicator — comfortable dealing with clients, tenants, engineers, and suppliers.
- Attention to detail, particularly when updating records, portals, and raising invoices.
- A proactive, problem-solving approach — you'll spot issues before they escalate.
- Experience working with housing associations, local authorities, or within the building services / FM sector is advantageous.
- Familiarity with access systems or similar technical services is desirable but not essential — full training provided.
- A varied, hands-on role where your contribution genuinely matters.
