Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit a Panel Support Manager for a 3 month contract with possible extension on a rate of £21.77/hour (PAYE). The role is currently based at home with potential travel to external locations within the central belt for meetings/training and any other necessary requirement of the business.

Responsibilities:

  • Lead, manage, train and develop a team of panel support coordinators with varying responsibilities across the organisation to deliver excellent and efficient administrative processes and support.
  • Assist the operations management team with resource planning, scheduling and delivery of panels, including making decisions on priority applications.
  • Ensure that panel members are fully supported in their role and responsibilities through excellent and proactive administrative processes.
  • Support with the preparation and follow on work of panels, so that all documentation complies with policy and procedure.
  • Work to continuously develop and improve administrative processes and procedures, contributing to a high performing organisation, developing and managing standards in line with our quality framework.
  • Production and transcribing of accurate papers, records, agendas, minutes and correspondence, consistently applying guidance.
  • Maintain high level of confidentiality of all records and files, handling confidential and sensitive information in line with data protection and document control guidance.
  • Working with the operations management team, to assist in the management of complaints, freedom of information and data subject access requests, ensuring stated timelines are fully met.
  • Lead and contribute to organisation-wide projects, identifying issues and solutions.
  • Working flexible and co-operatively with the wider team to ensure efficient and effective cover for operations at all times.

  • A confident proactive leader and manager with the ability to motivate, support and empower a team and build effective and meaningful relationships both internally and externally.
  • Excellence in all aspects of administration, capable of developing and delivering new administrative systems and processes and the ability to implement continuous improvement through the development and management of service standards.
  • Great organisational skills, with the ability to handle complex tasks and processes, supported by very good written and verbal communication skills that can be adapted for different audiences.
  • Ability to understand, manage and deliver detailed digital approaches and solutions to support our flexible working and create efficiencies where possible.
  • Is calm and capable, with the ability to work professionally under pressure, role models and responds flexibly to organisational need.
  • Is proficient in dealing with confidentiality, data protection, complaints, freedom of information and data subject access requests.
  • The ability to develop an understanding of trauma and how it impacts on people, recognise the signs of trauma in self and others and build the resilience to cope with being exposed to, and hearing about, experiences of historical abuse.
  • Experience in leading and managing people, developing and delivering administration systems and implementing processes to ensure high levels of accuracy and consistency.
  • A proactive manager who leads by example and manages people to ensure that they carry out their role effectively in line with job service standards.
  • A qualification in administration or relevant subject, or a degree, or substantial experience in administration. Consideration will be given to highly experienced and skilled applicants who do not have formal qualifications.
  • Two years’ line management experience and experience in dealing with people issues such as absence and performance management.
  • Good Wi-Fi connectivity and a private space working from home due to the nature of the work.
  • Full BPSS security clearance is required; applications from those who already have this in place are welcome but not essential.

Desirable Skills:

  • Knowledge of the legislation and guidance that enables the work.
