A public sector organisation in Edinburgh is currently looking to recruit a Governance Assistant for an initial 6 month contract with potential to extend on a rate of £250/day (Inside IR35).

Responsibilities:

  • Provide professional secretariat service for Board and Committee meetings, arranging meetings, proactively managing attendance lists, assisting in the preparation of Board packs, drafting agendas, preparing skeleton minutes, and managing action trackers.
  • Prepare quarterly performance reports for the Board, collecting information from colleagues and ensuring that it is presented in a clear, accessible, and accurate way.
  • Assist in reviewing and editing Board reports prior to issue to ensure adherence to the required template and standard, identifying any key issues and escalating these as required.
  • Respond to requests for information and support from Board members.
  • Be an administrator on the Board portal software, managing access to the portal and updating information stored on it.
  • Work with the highest level of confidentiality and integrity.
  • Proactively help coordinate events and meetings for the Board with internal and external stakeholders.
  • Work with the Finance team, helping to raise purchase orders and liaising with budget holders and suppliers, working carefully and accurately.
  • Support Board members in relation to expenses and allowances in line with policies.
  • Provide advice and support to colleagues and managing agents in relation to the Complaints Handling Procedure, recording complaints and preparing quarterly and annual reporting on complaints handling.
  • Assist with the maintenance of the register of interests for Board members.
  • Maintain the Governance team’s intranet and website pages, ensuring that these are regularly reviewed and updated.
  • Support the Head of Governance with administration as required.
  • Be available to provide assistance to the Information Advisor in responding to information requests, such as those received under Freedom of Information legislation.

  • Ability to manage and prioritise a busy workload

Desirable Skills:

  • Business administration qualification or equivalent
  • Minute and note-taking
  • Managing information for senior management and Board discussions, a track record of professional integrity is paramount
  • 1-2 years’ experience in commercial and/or public sector
