Venesky-Brown’s client, a public sector organisation in Falkirk, is currently looking to recruit an Executive Assistant for an initial 3 month contract with option to extend on a rate of £182.56/day (Inside IR35). This role will be hybrid working.
Responsibilities:
- Ensure provision of a high level of Personal Assistant support including diary management, handling and direction of all mail, calls and enquiries, arranging meetings, minute taking, travel and other essential arrangements for the smooth running of the Chief Executives workload.
- Support the preparation of highly confidential and politically sensitive material including letters, memos, reports, minutes, agendas etc.
- Create and update documents and presentations, co-ordinate meetings and prepare associated papers and reports to agreed deadlines within the Committee Planner system, ensuring relevant actions are progressed, followed up and summarised on behalf of the Chief Executive.
- Undertake research and prepare briefing or working papers e.g., from information published by governmental or other bodies in a range of media including internet and papers highlighting areas for particular attention of the Chief Executive/Director/HSCP Chief Officer.
- Process information, scrutinise and research material, ensuring consistency against given criteria or regulations and link/cross-check information before assembling for consideration.
- Manage the governance and retention policy and document control for the Chief Executive office in accordance with Organisation policies and procedures including continual review and improvements of the Committee Planner system.
- Manage the Chief Executive secretarial team including allocation of work, recruitment, performance management, approval of leave requests, training and development including planning activities for up to a year in advance.
- Lead and implement a review of the PA and secretarial support across the Council within 6 months.
- Promote a culture of continuous improvement using management information and customer feedback, reviewing and changing processes to achieve increased effectiveness and efficiency.
- Work with the Business Support team to ensure clerical and administrative tasks associated with the role are carried out appropriately, oversee specific tasks & projects for the Chief Executive office and when necessary provide cover within the secretarial teams.
