Responsibilities
- Diary Management: support the CIO in delivering objectives by effectively managing time, forward planning of schedule, and responding promptly to evolving priorities.
- Reporting schedules and actions tracking: assist the CIO in building departmental action plans and reporting schedules, and maintain/manage them.
- Correspondence handling: manage correspondence received and draft responses where appropriate to ensure timely replies to customers/stakeholders.
- Email/Phone: manage email sent to the CIO, proactively respond on their behalf or delegate where appropriate.
- Travel & Expenses: arrange travel and accommodation for UK and overseas visits, ensure compliance with policies, and process expense claims for the CIO and Investment departments if applicable.
- Administration: maintain office systems including data management and filing, in line with relevant policies and GDPR.
- Compliance: comply with all policies and deliver against statutory, regulatory, supervisory and legal obligations.
Qualifications and Experience
- Proven experience supporting an executive at board or senior level, ideally in a fast‑paced or agile environment.
- Experience working with senior staff and key influencers.
- Excellent attention to detail.
- High level interpersonal and organisational skills.
- Experience handling sensitive and confidential information.
- Self‑motivated and able to prioritise, align competing priorities and deliver to tight deadlines in a high‑pressure environment.
- Proactive in using initiative.
- Excellent knowledge of Microsoft Office.
- Ability to work across teams and office functions.
- Sound knowledge of the organisation’s strategic priorities and objectives, with ability to build relationships and awareness across the office.
- Demonstrate high level of customer service.
- Willingness to accept responsibility and make decisions.
- Ability to work independently, capable of organising own workload and priorities without supervision.
- Confident and capable of dealing with senior stakeholders across the organisation.
