This role is looking after Executive Creative Directors and Creative Directors in our Creative department for VCCP Blue. It’s a very collaborative team where communication is key to keeping on top of diaries, meetings, travel, events, and socials. The PA also works closely with the Head of Creative Services and Production to ensure alignment across the teams. No two days are the same, and aside from the day-to-day PA duties, you’ll also be managing events for the department, monthly socials, pulling together the content for the monthly team presentations, and covering for the other PAs in VCCP Blue.
The role would suit someone who is an established PA who enjoys working with Creatives. Experience working in the Advertising industry with knowledge of how an agency works would be ideal, but not essential. The candidate must be proactive and be able to work autonomously. However, teamwork is integral to VCCP and the role, so the successful candidate must be able to work as part of a team and be willing to muck in and assist others where necessary.
The candidate will be expected to complete a wide range of tasks, so someone who is unprecious is a must. They should possess a pleasant and friendly manner, have a great sense of humour, and be ‘switched on’ with plenty of common sense and a ‘can-do’ attitude. They will often be under pressure, so a calm and unflappable composure is also required. They should be able to form good relationships with clients and colleagues and liaise with all levels of management. Reliability and flexibility are a must in this role.
Duties and Responsibilities- Extensive and complicated diary management
- Preparation for internal and external meetings: ensuring rooms are booked and ready, any pre‐reads/ presentations / CVs are printed out in advance, and making sure all those expected to attend do so
- Ability to think and make decisions quickly
- Ability to pre-empt situations or issues that may arise in terms of diary arrangements
- Understanding business priorities
- Booking travel and managing itineraries
- Creating PowerPoint/Slides presentations
- Managing timesheets and expenses promptly
- Monitoring and managing inboxes
- Regular courier and taxi bookings
- Prepare and edit correspondence, communications, presentations, and other documents
- Providing cover when other PA’s are on holiday or sick leave
- Managing prep needed for VCCP Group Financial Reviews
