Executive Assistant to Founding Partner + two C Suite

Contract: 12-month Maternity Cover

Start Date: March 2026

THE ROLE

We are looking for an ambitious and highly organised individual who is articulate, curious, proactive and thrives in a fast‑paced environment across a range of projects.

Whilst the successful candidate needs to be a natural self‑starter, it is also important that they can work as part of a team across a range of disciplines.

We are seeking a highly experienced and professional Executive Assistant to provide seamless, high‑level support to one of our Founding Partners and two CSO\’s.

This role is far more than just diary management; you will be a true representative of the leadership team, a trusted sounding board, and integral to their collective success. Pro‑activity and anticipation are key; you must be two steps ahead at all times. You will be privy to highly confidential information, so complete discretion is non‑negotiable.

DUTIES AND RESPONSIBILITIES

Executive Support

  • Extensive and complex diary management for three executives, monitoring heavily fluctuating schedules and acting as a robust gatekeeper for their time.
  • Proactively managing multiple inboxes, flagging urgent items and actioning emails on the executives\’ behalf, adapting to their individual tones of voice.
  • Acting as a \”sounding board\” for the leadership team; being invited to share opinions on new work, articles, and personnel issues, and not being afraid to give an honest opinion.
  • Seamless preparation for all internal and external meetings: booking rooms, preparing pre‑reads, coordinating presentations, and ensuring all tech is in place.
  • Preparing and editing correspondence, presentations (PowerPoint/Google Slides), and other documents with flair and immaculate attention to detail.
  • Booking extensive and complex international travel, managing itineraries, visas, and accommodation.
  • Accurate and timely completion of timesheets and expenses for all three executives.

Client & Agency Stewardship

  • Significant involvement in senior client relationship management, acting as a key point of contact for clients and their PAs.
  • Coordinating and managing invitation lists for high‑profile client events, dinners, and entertainment.
  • Attending key client entertainment events as a representative of the leadership team and VCCP.

Project Management

  • Leading on ad‑hoc agency projects and initiatives, such as managing client entertainment, supporting charity partnerships, or driving internal events.

Personal Support

  • Liaising closely with the executives\’ families to coordinate personal appointments and holidays, ensuring no clashes with business commitments.
  • Handling occasional personal administration and errands as required.

ROLE SPECIFIC SKILLS REQUIRED

  • 5+ years of experience as an EA at a C‑Suite or Partner level, ideally supporting multiple senior stakeholders concurrently.
  • Exceptional diary, inbox, and time‐management skills.
  • Exceptional grammar, communication skills (both written and verbal), and immaculate attention to detail.
  • Complete discretion and experience handling highly confidential information.
  • Advanced knowledge of Google Workspace (Gmail, G‑Suite) and Microsoft Office (Word, PowerPoint, Excel).
  • Ability to navigate both PC and Mac.
  • Previous experience within an advertising agency or similar fast‑paced creative environment is highly desirable.

The ideal candidate will be a proactive, autonomous, and forward‑thinking EA who can anticipate needs and solve problems before they arise. You must be able to expertly manage the conflicting priorities of three senior executives with a calm and unflappable composure.

Given the nature of our agency, the candidate must be unprecious, willing to roll up their sleeves, and maintain a good sense of humour whilst doing so.
