EA and Operations Manager
Job Summary
The EA and Ops Manager provides high-level executive assistance to our Executives while managing the day-to-day administrative and operational functions of the agency. Working closely with the Director of Operations, this role requires an experienced and efficient individual who has a strategic mindset and is able to support the Director of Operations, helping to inform and help the Exec Board roll-out vital business decisions and initiatives. This is a hands-on, proactive role that acts as the \”agency ear to the ground,\” supporting everything from agency planning, management of business critical work, employee onboarding, internal communications and event planning. The role is integral to ensuring the smooth and efficient running of the agency.
Key Responsibilities
Executive & Senior Leadership Support:
- Provide full EA support to 3 Managing Partners, including diary management, prioritisation, and email support.
- Act as a sounding board and agency \”ear to the ground\” for senior leaders and junior staff.
- Support in prepping for all major moments, including company meetings, financial reviews, and major client meetings.
Strategic Planning:
- Work with the Director of Ops to develop and support key strategic initiatives on the running of the agency.
- Serve as a project manager for the annual business plan, breaking down objectives and driving collaborative delivery across the agency.
- Support planning and strategic initiatives for three business areas – working closely with Managing Partners to deliver
- Feed into and help create presentations and action plans for all executive and agency-wide meetings.
People & Culture:
- Design and lead the settling-in process for all new hires, coordinating introductions and IT/HR setups.
- Support the annual \”Table Programme\” recruitment, from reviewing submissions to onboarding new recruits.
- Arrange and manage all staff events and programs.
- Champion the DE&I, Sustainability, and Wellbeing agenda
Systems Management:
- Act as the primary point of contact for the Finance and Global Ops team, helping to navigate any issues.
- Partner with the Head of Strategy & Innovation to identify, test, and roll out new tools and technology.
Clients & Awards
- Run agency awards programme – includes working with client leads to identify worthy work, briefing creative and design and submitting
- Client survey lead
