V&C Associates have been retained to identify an experienced Tour Manager for a specialist operator with a long-standing reputation for art-orientated and garden tours. The business specialises in European cultural tours for leading American museum groups, alumni associations, private clients and garden societies. This is a hands-on role within a small, dedicated team, requiring excellent administrative and communication skills. The successful candidate will take full ownership of their own tours — from conception and costing through to on-the-ground delivery.
The Role
- Tour Administration & Product Development
- Designing, planning and costing tours
- Sourcing and liaising directly with European suppliers, including hotels and restaurants
- Working with ground agents across Europe and beyond
- Liaising with US clients, pitching for new business and producing client documentation
- Responsibility for tour finances
- Producing clear, engaging itineraries and client-facing materials, including mailings and brochures
- Answering client queries by phone and email
- Processing tour booking forms and pre-tour documentation
- Providing office support when colleagues are abroad
- Booking flights via Galileo or similar systems
- Ensuring all arrangements run smoothly and to plan
- Taking responsibility for the welfare of the party and daily logistics
- Working alongside expert lecturers and local guides
- Managing any issues that arise — from lost baggage to medical emergencies — with composure and efficiency
The Candidate
The ideal candidate will have a minimum of eight years' experience in organising special interest tours to Europe, combined with tour leading experience, a passion for travel and a genuine understanding of the industry. Applicants should be able to demonstrate:
- A background in Art History and/or a strong interest in gardens
- A working knowledge of at least one European language
- The ability to manage complex, multi-faceted projects with strong attention to detail
- Excellent written communication skills, with the ability to produce compelling itineraries and client-facing materials
- Sound judgement, initiative and imagination
- Strong decision-making ability under pressure
- A naturally diplomatic, patient and calm manner
- Stamina — and a sense of humour
