Here at the Oak Veterinary Group, we are excited to be able to offer an opportunity to offer a receptionist position part-time or full-time to join our existing Support Team.
We are looking for a friendly, hardworking, and enthusiastic dedicated client-centred individual, to become a part of our existing efficient Reception / Support Team. Our busy Practices thrive in an environment of collaboration and effective teamwork.
The ideal candidate would have a positive work attitude, good organisational skills, and the ability to be empathetic with our clients and assist with their needs.
The role will involve:
This role involves providing excellent customer care to clients and patients calmly and efficiently, managing bookings, client registration, and maintaining the Practice Management System. Responsibilities include processing payments, retrieving prescriptions, handling daily debtor queries, supporting Pet Health Care Plan administration, and assisting with insurance claims. The position also requires maintaining the cleanliness of waiting areas and consult rooms, managing stock, and interacting confidently with domestic pets. The practices are all based in beautiful Pembrokeshire surrounded by the most stunning coast and countryside that Wales has to offer.
Our main small animal surgery in Haverfordwest offers surgery, dentistry, internal laboratory, ultrasound, radiography, and endoscopy. Our Fishguard branch has an internal laboratory, dentistry and surgical facilities and is the site of our aquatic treadmill for hydrotherapy, and where our rehab services are primarily based. Laser services are also provided.
We are a team of 9 Veterinary Surgeons, 4 Registered Veterinary Nurses, 2 Student Nurses and 2 Animal Nursing Assistants. We also have a Practice Manager, Reception Co-Ordinator and an efficient Reception Support Team.
We enjoy regular social events including our annual Team Building Day in the summer and Christmas get-together and there are also other optional get-togethers all year round. Last year three of the Team took part in a Volunteering Scheme in Sri Lanka.
Are you the perfect fit?
- Ideally has 3 years previous experience within a Reception and / or Customer Service Role
- Computer literate with a proficient level of experience of using Microsoft Office and / or bespoke computer systems; ideally including Diary Management and Insurance Claims Handling
- Excellent communication and people skills with a positive demeanour
- Reliable and enthusiastic attitude supporting our client base and colleagues
- Organised, able to multitask, solve problems and work under pressure
- An awareness of costs and practice protocols in relation to budgeting and spending
Working patterns
We require an additional staff member for a minimum of 30 hours per week to potentially a maximum of 37.5 hours per week, within the hours of 8 am – 7 pm on weekdays and 8:30 am – 1:30 pm on Saturdays on a rota basis. The job may also be occasionally be based over our 3 surgeries, Haverfordwest, Fishguard and St David’s with an equal share of Saturday morning cover at our Haverfordwest Branch.
