We are a welcoming and fast-scaling business looking for a highly organised Office & Finance Administrator to support the smooth running of our Blackburn office.
Following the centralisation of some finance activities to our Head Office F&O team in the Netherlands, we are creating a focused UK-based role to provide local coordination across office administration, finance support, supplier administration, Health & Safety administration, fleet coordination, travel bookings, expenses and internal reporting. This is a varied, hands-on role that would suit an experienced administrator or accounts administrator who enjoys being central to a business, keeping things organised and making sure tasks are completed accurately and on time.
What You’ll Be Doing
- Support the Managing Director and wider UK team with a broad range of office, finance and business administration duties.
- Office administration and coordination for the Blackburn site.
- Supporting local supplier administration, purchase orders, invoice matching and supplier queries.
- Liaising with the Head Office F&O team in the Netherlands on UK finance administration matters.
- Preparing customer onboarding forms and UK credit checks ready for Head Office F&O review.
- Supporting communication between Head Office F&O and the local Sales Manager regarding overdue accounts, account stops and cases requiring Account Manager intervention.
- Coordinating Health & Safety administration, including inspections, certifications, records and risk assessment documentation.
- Managing administration for a small company vehicle fleet of four vehicles.
- Booking travel and accommodation for the MD, Sales Manager, sales colleagues and annual exhibitions.
- Checking colleague expense claims for receipts, completeness, accurate recording and policy anomalies.
- Preparing internal reports and trackers as required by the Managing Director.
About You
We are looking for someone who is accurate, organised, proactive and confident communicating with colleagues, suppliers and Head Office contacts. You do not need full bookkeeping experience, but you should be comfortable with administrative finance processes such as purchase ledger support, invoicing, supplier administration, customer onboarding and credit checks.
You will need:
- Strong office administration or accounts administration experience.
- Excellent written and spoken communication skills.
- Strong numeracy and attention to detail.
- Confidence using business systems, Microsoft Office and Microsoft 365.
- The ability to manage multiple tasks and follow things through.
- A flexible, team-focused approach.
- A professional and discreet approach to confidential information.
- Experience with D365 or Microsoft Dynamics AX would be helpful, but is not essential.
