Role Overview
We are looking for a highly organised, proactive, and discreet Executive Assistant to support our CEO. This is a pivotal role within the business, acting as a trusted partner to the CEO and helping to ensure the smooth running of daily operations. In addition to executive support, you will take ownership of building, training, and managing a team of administrators, helping to scale our operations as the business grows.
Key Responsibilities
- Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements
- Act as the first point of contact on behalf of the CEO, screening calls, emails, and enquiries
- Prepare reports, presentations, and briefing documents
- Coordinate internal and external meetings, including agendas and follow-ups
- Assist with project coordination and tracking key business initiatives
- Handle confidential information with discretion and professionalism
- Support communication between the CEO and internal teams, suppliers, and partners
- Organise company events, team meetings, and off-site activities
- Assist with basic financial and administrative tasks as required
- Proactively identify ways to improve efficiency and support business operations
Team Leadership & Administration Management:
- Recruit, onboard, and train a team of administrative staff
- Set clear objectives, processes, and performance standards for the admin team
- Manage day-to-day workloads and ensure tasks are completed efficiently and accurately
- Monitor performance and provide ongoing coaching and development
- Implement and improve administrative systems and workflows to support business growth
- Act as a key link between the CEO and the administrative team
Requirements
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role
- Experience managing, training, or mentoring staff (or strong potential to step into a leadership role)
- Exceptional organisational and time-management skills
- Strong written and verbal communication abilities
- High level of discretion and professionalism
- Ability to multitask and prioritise effectively in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- A proactive, problem-solving mindset with strong attention to detail
- Comfortable working closely with senior leadership in a small business setting
