Role Summary

We are seeking a highly experienced and proactive Property Accountant to take full ownership of the accounting function for our managed property portfolio. This is a pivotal role within the Property Management team, responsible for the end-to-end financial stewardship of client funds, ensuring compliance with RICS Client Money Protection standards and delivering timely, accurate financial reporting.

This is a sole-charge role with full responsibility across all client accounting activities. In the medium term, the post-holder will also help define and lead the recruitment of a junior accounting resource, whom they will directly line manage.

Key Responsibilities

Client Accounting (Sole Responsibility):

  • Management of client-designated bank accounts in compliance with RICS Client Money Regulations.
  • Reconciliation of client bank accounts on a weekly and monthly basis.
  • Full responsibility for credit control, including issuing arrears reports, chasing tenant payments, and managing tenant payment plans.
  • Oversight and processing of purchase ledger transactions, ensuring supplier invoices are coded, authorised and paid within agreed terms.
  • Preparation and submission of client financial reports, including income & expenditure reports, balance sheets and rent schedules.
  • Management of service charge accounts, including annual service charge reconciliations and budgets, working closely with Property Managers and Surveyors.
  • Quarterly and year-end VAT returns and associated submissions.
  • Ensuring full compliance with client reporting requirements including monthly, quarterly and annual packs (bespoke to each client).
  • Liaising with auditors to assist in annual service charge audits.
  • Tenant onboarding/offboarding from an accounting and billing perspective, including setup and closure of accounts in the system.
  • Cash flow forecasting and management of fund transfers between accounts as required.
  • Working with external stakeholders such as solicitors and utility providers regarding outstanding balances, queries and payment allocation.

Team Development:

  • Take a leading role in the creation of a job description for a new junior client accounting position.
  • Line management responsibility for the new team member including training, workload allocation, development and performance reviews.
  • Act as a point of escalation for accounting queries from across the Property Management team.

Professional & Technical Requirements

  • Minimum of 5 years’ experience in commercial property client accounting, ideally within a managing agent or surveying firm.
  • In-depth working knowledge of RICS Client Money Handling Rules and best practices.
  • Familiarity with property management software (e.g. TRAMPS, Yardi, MRI Qube, or similar systems).
  • Strong working knowledge of service charge accounting and tenant billing.
  • Strong Excel skills, including pivot tables and basic formulas.
  • High attention to detail and excellent numerical accuracy.
  • Self-motivated, organised and capable of working independently.
  • Proactive communicator with the ability to work closely with both finance and surveying teams.
  • Ability to manage multiple deadlines and prioritise workload.
  • Demonstrated ability to lead and mentor junior team members.
  • Commercial awareness and client-first approach.
