The Role

The Estates Administrator will provide proactive administrative and organisational support to the property and asset management teams. Reporting to the Property Management Director, the role will cover both single-let and multi-let assets and involve close collaboration with external consultants and internal specialists.

The focus is on ensuring smooth day-to-day management, seamless onboarding of new assets, and accurate data management across multiple systems. The successful candidate will be central to delivering excellent service to occupiers and investors while supporting a business committed to sustainability and long-term value creation.

Key Responsibilities

Data & Systems Management

  • Maintain accurate records, contracts, and property documentation.
  • Manage data onboarding for new acquisitions and disposals, liaising with lawyers, insurers and managers.
  • Update customer and ESG platforms with key information (GRESB, EPC improvements, inspection reports, covenant data).

Financial & Portfolio Support

  • Process and track invoices, liaising with finance, property and asset managers.
  • Assist in the preparation of portfolio reports and performance monitoring.

Stakeholder & Team Support

  • Arrange inspections and quarterly meetings with managing agents and consultants.
  • Support occupier engagement through accurate data management and strong communication.
  • Contribute to ad-hoc property and asset management projects.

Candidate Profile

Our client is seeking an individual with:

  • Experience in the property, real estate or commercial sectors
  • Strong organisational and data management skills, with proficiency in MS Office (Excel, Word, Outlook).
  • Excellent attention to detail, with the ability to prioritise in a fast-paced environment.
  • Strong communication and relationship-building skills with a customer-focused outlook.
  • Confidence to take ownership of projects and collaborate across multi-disciplinary teams.
  • A full, clean driving licence.
