What You’ll Be Doing
- As a Warranty Admin Assistant (Distribution), you'll be reviewing and validating dealer warranty claims while ensuring compliance, accurate payments, and smooth coordination with dealers and the manufacturer.
- Review and process warranty claims from authorised dealers, ensuring accuracy and compliance with warranty policies.
- Check repair documents, parts usage, labour operations, and causal parts to confirm claim eligibility.
- Identify incorrect or over‑claimed submissions and follow up on corrections.
- Act as the main contact between dealers and the manufacturer for all warranty‑related matters.
- Guide dealers on correct claim submission, policy updates, and common rejection issues.
- Coordinate with manufacturer representatives on claim approvals, escalations, audits, and policy changes.
- Ensure warranty activities follow contractual agreements, manufacturer standards, and internal controls.
- Support warranty audits by preparing required documents, reports, and corrective actions.
- Review warranty payment statements and prepare credit notes for verification and submission to Accounts Receivable.
- Track and ensure timely settlement of all warranty‑related financial transactions.
- Prepare regular reports on claim volumes, approval rates, rejection trends, and turnaround time.
- Analyse warranty data to identify recurring issues, training needs, cost savings, and process improvements.
- Support dealer training by sharing best practices, common claim errors, and policy changes.
- Stay up to date on vehicle products, warranty coverage, technical bulletins, and service campaigns.
As a Warranty Admin Assistant (Retail), you'll be handling warranty claim submissions, tracking payments and credit notes, preparing reports, and ensuring accuracy, compliance, and smooth process flow.
- Review, validate, and submit warranty claims accurately and on time.
- Ensure repair orders and supporting documents are complete to speed up approvals and reimbursements.
- Prepare warranty and technical reports required by BYD / Denza.
- Track warranty settlements, including returns, payments, and credit notes.
- Review manufacturer warranty payment statements and coordinate with Accounts Receivable.
- Prepare and maintain monthly reports (summary, ageing, parts usage, WIP, rejection analysis, acceptance rate).
- Review repair orders to reduce claim rejections and prevent revenue leakage.
- Identify ways to improve warranty processes, coding, and workshop workflows.
- Support warranty audits and ensure compliance with manufacturer standards.
- Analyze claim trends to spot recurring issues and improvement opportunities.
