Vanta Staffing are recruiting on behalf of our client for an experienced and highly organised Travel Coordinator to join their team in Thame. This is an exciting opportunity to join a well-established and internationally recognised business. With productions operating across multiple locations and countries, travel coordination is a key part of ensuring crews, drivers and operational teams are where they need to be, when they need to be.
The Role
As Travel Coordinator, you will take ownership of coordinating travel arrangements for employees and operational teams, ensuring that travel plans are organised efficiently, accurately and cost-effectively. You will work closely with internal departments, drivers, and external travel providers to coordinate everything from accommodation and flights through to transfers and travel itineraries. This is a fast-paced role where priorities can change quickly, so the successful candidate will need to be highly organised, calm under pressure and comfortable managing multiple travel arrangements simultaneously.
Key Responsibilities
- Coordinate domestic and international travel arrangements for employees, crews and operational personnel.
- Arrange flights, hotels, accommodation, transfers, car hire and other travel requirements.
- Create and maintain detailed travel itineraries and schedules.
- Liaise with hotels, airlines, travel providers and other suppliers.
- Coordinate travel requirements around filming schedules, production movements and operational deadlines.
- Manage changes, cancellations and last-minute travel requirements.
- Monitor travel plans and proactively resolve any issues that arise.
- Ensure travel bookings are cost-effective and meet agreed company requirements.
- Maintain accurate records of bookings, costs and travel documentation.
- Work closely with transport, operations and management teams to ensure smooth coordination.
- Support international travel across the company's European operations where required.
- Ensure travellers have the correct information and documentation ahead of their journeys.
- Provide a responsive and professional service to employees and internal stakeholders.
About You
The ideal candidate will have previous experience within travel coordination, business travel, logistics, transport coordination, production or a similar fast-paced environment. You will be someone who enjoys being organised, solving problems and making sure the detail is taken care of. We're looking for:
- Previous experience in a travel, logistics, coordination or administrative role.
- Excellent organisational and time-management skills.
- Strong attention to detail.
- The ability to manage multiple bookings and priorities at the same time.
- Excellent communication skills, both written and verbal.
- A confident and professional telephone manner.
- The ability to remain calm and solutions-focused when plans change at short notice.
- Good IT skills, including Microsoft Office, Excel is a MUST.
- Experience booking international travel would be highly advantageous.
- Experience within film & television, transport, production or a similar industry would be beneficial but is not essential.
- A proactive approach with the ability to work independently as well as part of a wider team.
