Vanrath is working with a well-established transport and logistics organisation to appoint an organised and proactive Workshop Controller to oversee the day-to-day running of a busy commercial vehicle workshop based in Derry. Reporting to the Operations Director, the Workshop Controller will play a central role in the efficient, compliant, and cost-effective running of the fleet maintenance operation, controlling workshop workflow and keeping vehicles on the road.

About the Role

As Workshop Controller, you will take ownership of the daily control of the workshop, planning and scheduling work, coordinating the workshop team, and ensuring maintenance and compliance standards are met across the fleet. You will act as the key point of coordination between the workshop, suppliers, operations, and finance, keeping jobs moving and records accurate.

Key Responsibilities

  • Control the day-to-day workflow of the workshop, booking in and scheduling jobs for the team
  • Plan and prioritise maintenance, servicing, and repair work to minimise vehicle downtime
  • Record and manage vehicle breakdowns, ensuring the correct workshop actions are taken promptly
  • Prepare and maintain job sheets, maintenance schedules, and compliance records
  • Oversee the ordering of parts and equipment, liaising with the Operations Director as required
  • Maintain accurate fleet maintenance and compliance records across the operation
  • Liaise with suppliers to resolve order and delivery queries quickly
  • Collate, input, and maintain data for purchasing logs and audit purposes
  • Work with the Finance Team to ensure all purchase documentation is accurate
  • Keep fleet management software fully up to date for accurate asset and location records
  • Provide general coordination and support to the wider operation as required

What We're Looking For

  • Previous experience in a workshop, transport, or fleet maintenance environment, ideally in a controlling, scheduling, or coordination capacity
  • Strong organisational and planning abilities
  • A good understanding of fleet maintenance and compliance requirements
  • Proficiency in Microsoft Office (Outlook, Excel, Word) and fleet management systems
  • Excellent communication and coordination skills
  • Full driving licence (desirable)
