Vanrath are recruiting for an Administrative Assistant on behalf of a large public sector body in Lisburn on a temporary basis. 37 hours, 9am to 5pm, temporary £15.31ph.

The Administrative Assistant will be responsible for providing secretarial and administrative support for Building Control Services and supervision of appointed staff.

What you'll do

  • Administrative Support
    • Provide general clerical and administrative support to the Building Control team.
    • Process incoming and outgoing correspondence, emails and telephone enquiries.
    • Maintain accurate electronic and manual filing systems.
    • Input and retrieve data using Council IT systems and databases.
    • Assist with scheduling inspections, appointments and meetings.
  • Customer Service
    • Deal courteously and professionally with members of the public, contractors, architects and other stakeholders.
    • Respond to routine enquiries relating to Building Control services, referring complex matters to senior staff where appropriate.
  • Records and Financial Administration
    • Process Building Regulation applications and associated documentation.
    • Record payments and assist with basic financial administration procedures.
    • Maintain confidentiality and accuracy of records in line with GDPR and Council policies.
  • Team Support
    • Support Building Control Officers with administrative requirements relating to inspections and enforcement activities.
  • General
    • Comply with all Council policies including Health & Safety, Equality, Data Protection and Safeguarding policies.
    • Participate in training and development activities.

About you

Essential Criteria

  • Qualifications
    • A minimum of 5 GCSEs (Grades A-C), or equivalent, including English Language and Mathematics.
  • Experience
    • At least 1 year's clerical or administrative experience in an office environment.

Desirable Criteria

  • Experience working within a local government or public sector environment.
  • Experience using document management or case management systems.
  • Knowledge of Building Control or regulatory services.
  • Experience handling financial transactions or processing payments.
