Fantastic opportunity for an individual to become a Legal Personal Assistant, joining a thriving Legal Professional Services company that is multi-national. This role is based in Belfast City Centre Office - After 1 month in-office, the role moves to Hybrid working (3 days in office and 2 days at home). Permanent - Monday - Friday position. Salary: Fully Negotiable. Fantastic Benefits package & Growth Opportunities.
Responsibilities:
- Proactively manage diaries, identifying and resolving scheduling conflicts.
- Coordinate meetings, travel arrangements, and accommodation.
- Support business development activity by coordinating, recording, and tracking BD initiatives and assisting with client relationship development.
- Draft correspondence for approval and issue communications externally.
- Produce accurate dictations including emails, documents, file notes, attendance notes, and reports.
- Organise internal and external meetings and events to ensure optimal use of LAs' time.
- Complete and submit file opening forms and liaise with the Central Compliance Unit regarding conflict checks, KYC, and AML requirements.
- Open new files and support LAs with the preparation of engagement and onboarding documentation.
- Manage client files, including filing, archiving, and off-site storage.
- Collate and manage financial reports and data from the firm's financial systems.
- Monitor financial hygiene for the team, including regular circulation of WIP and aged debt reports.
- Receive, scan, and distribute incoming post via the case management system.
- Prepare and submit expense claims.
- Raise, issue, and actively chase client invoices.
- Ensure timely payment of third-party invoices, including Counsel, Process Servers, and Expert fees.
The Ideal Person:
- Previous Legal PA experience in a similar role working with Partners and a broader team of LAs.
- Specific Northern Ireland litigation experience.
- Patience and strong upward management skills.
- Highly motivated and able to work without supervision to a high standard.
- Excellent and accurate keyboard skills.
