Facilities Administrator Location: Belfast

Salary: £12.50 per hour

Hours: 37.5 hours per week (Monday-Friday)

Contract: Temp-Perm

An established and well-known Belfast organisation is seeking a Facilities Administrator to join its busy site-wide facilities team on an interim basis. This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys supporting operational teams.

The Role

Reporting to the Facilities Manager, you will provide comprehensive administrative support to ensure the smooth day-to-day running of the facilities function. You will work closely with internal teams and external contractors, maintaining accurate records and supporting service delivery across the site.

Key responsibilities will include:

  • Updating contractor and in-house documentation on internal systems
  • Producing weekly reports on planned preventative maintenance (PPM) and reactive works
  • Scheduling monthly PPM activities and ensuring required documentation and site access is in place
  • Raising and issuing purchase orders to suppliers
  • Supporting and maintaining the CAFM system with regular updates
  • Compiling contractor and engineer reports
  • Setting up new supplier accounts
  • Ensuring service level agreements, contracts and insurances are current
  • Providing general administrative support including filing, reporting and stock ordering

Essential Criteria

  • Minimum of 2 years' experience within an administrative role
  • Strong working knowledge of Microsoft Office, particularly Word and Excel
  • Experience raising purchase orders
  • Experience collating reports from database systems
  • Excellent organisational skills and strong attention to detail
  • Strong written and verbal communication skills
  • Flexible approach to supporting a busy department
