An established and well-known Belfast organisation is seeking a Facilities Administrator to join its busy site-wide facilities team on an interim basis. This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys supporting operational teams.
The Role
Reporting to the Facilities Manager, you will provide comprehensive administrative support to ensure the smooth day-to-day running of the facilities function. You will work closely with internal teams and external contractors, maintaining accurate records and supporting service delivery across the site.
Key responsibilities will include:
- Updating contractor and in-house documentation on internal systems
- Producing weekly reports on planned preventative maintenance (PPM) and reactive works
- Scheduling monthly PPM activities and ensuring required documentation and site access is in place
- Raising and issuing purchase orders to suppliers
- Supporting and maintaining the CAFM system with regular updates
- Compiling contractor and engineer reports
- Setting up new supplier accounts
- Ensuring service level agreements, contracts and insurances are current
- Providing general administrative support including filing, reporting and stock ordering
Essential Criteria
- Minimum of 2 years' experience within an administrative role
- Strong working knowledge of Microsoft Office, particularly Word and Excel
- Experience raising purchase orders
- Experience collating reports from database systems
- Excellent organisational skills and strong attention to detail
- Strong written and verbal communication skills
- Flexible approach to supporting a busy department
