You and Your Team: As a Post Room Assistant you will be reporting to the Property and Facilities Manager. In this role you will be part of our wider facilities team, responsible for ensuring successful delivery of post to all of our departments within Chatham, whilst managing outgoing mail within set SLAs.
In your day-to-day role, as a Post Room Assistant, you will:
- Manage the end-to-end process of both customer-facing and non-customer-facing incoming and outgoing mail.
- Sort, open, prepare, batch, and scan incoming mail.
- Understand each department and their document types.
- Identify original and copy customer documents.
- Log incoming signed-for and special delivery mail.
- Deliver scanned documents into Documation, understanding over 20 document types filtering into 9 departments.
- Keep an audit of daily incoming/outgoing postal statistics.
- Quality check scanned images.
- Accurately note customer accounts where necessary.
- Audit and quality check the return of customer documents.
- Post outgoing mail and parcels using a franking machine.
- Print, envelope, and post mail for various departments.
- Utilize Teams, CRM, FICO, Documation scanning, Webflow & Retrieval, and Microsoft Office programs, including Excel and Outlook.
- Use letter opener, scanning, and franking machines.
