We are looking for a skilled Design Studio Assistant for our client, a prominent Arts organisation in central London. This pivotal role supports the operational function of the busy in-house Design Studio, which caters to a wide range of departments including Marketing and Programming. The successful candidate will work closely with the Design Studio Manager, handling administrative tasks that ensure seamless project workflows, particularly in print commissioning and supplier communication.
The role is ideal for someone with a background in project coordination, and the arts sector, seeking a career entry point into studio or project management in a creative environment. The position offers the chance to be part of a friendly team, contributing to innovative and inclusive cultural programmes, whilst developing skills in project coordination, print processes, and inter-departmental communication.
Your responsibilities will include:
- Supporting the Design Studio Manager with daily administrative and operational duties to ensure efficient studio functioning
- Executing administrative processes related to print commissioning, including requesting quotes, managing artwork files, and securing proofs
- Communicating regularly with print and signage suppliers, organising the distribution of proofs and quotes to internal teams, and following up on sign-offs
- Co-ordinating the delivery and installation of printed materials, ensuring timeliness and accuracy
- Generating Purchase Orders (POs) using internal budget codes and tracking invoices to facilitate smooth payments
- Taking minutes during creative presentations and meetings to ensure clear records are kept
- Supporting operational improvements within filing systems and project documentation management
You will have:
- A keen focus on detail and organisational skills
- Excellent written and verbal communication ability
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Administration experience ideally within Design, Branding, Advertising or similar
- Mac literate – if you have knowledge of the Adobe suite that would be useful
- Google Suite knowledge (Google Drive, Docs, Sheets, etc.) is useful with a willingness to learn and adapt to project management tools such as Asana
- A keen interest in the arts and creative sectors
