A London Arts and Cultural organisation is seeking an Administration Manager for a temporary role lasting 6 to 8 weeks, offering £17.40 per hour plus holiday pay. This varied role supports the Programmes and Curatorial function and requires the ability to build positive relationships with stakeholders, first-class communication skills, and a keen eye for detail when processing invoices.
Responsibilities include:
- Supporting Programmes and Finance, Curatorial using Unit 4 (Agresso)
- Coordinating and communicating the artistic programme schedules
- Supporting project management for exhibitions, displays, and commissions
- Assisting with budget management and ensuring resources are available to deliver programmes on time and within budget
- Supporting the departmental Business Continuity Plan, Risk Register, and Risk Assessments
- Acting as a point of contact for Health and Safety
- Helping with the financial reporting cycle for the Curatorial department
- Processing invoices regularly in a timely fashion
- Monitoring and reporting on income and expenditure for the department
- Liaising with colleagues in Finance to understand changes in policy
- Providing financial updates for regular funder reporting
- Administering, attending, recording, and sharing decisions from project budget and exhibition meetings
- Supporting the Head of Programme Management with planning and delivery of the curatorial programme
- Contributing to the planning, monitoring, and evaluation of exhibitions and displays schedules
- Gathering schedule information and organising ad hoc schedule planning meetings
Experience needed:
- Working knowledge of Unit 4 (Agresso)
- Some experience of project management
- Good numeracy and business planning skills, including financial
- Effective verbal and written communication skills
- Excellent administrative and organisational skills
- Strong analytical skills and experience in writing, collating, and sharing key information
- Minute taking
- Financial planning, working within budget and to deadlines
- A proactive and flexible communicator
- An interest in the Arts and Cultural world
