One of the world’s leading museums is looking for an Event Support Assistant to join their dynamic Events team. In this administrative role, you will provide support for the successful delivery of a range of high-profile events.
Key responsibilities include:
- Collating guest lists, keeping track of dietary and access requirements, managing RSVPs, and accurately inputting and maintaining data within Raiser’s Edge, the museum’s event database.
- Providing support with processing email and voicemail RSVPs and queries for the museum’s Events team.
- Responding to emails in the department’s external shared mailbox and registering event responses and declines on Raiser’s Edge, ensuring a high degree of accuracy.
- Regularly circulating guest lists to staff members.
- Liaising with the Operations team regarding guest list updates to facilitate timely production of guest biographies.
- Forwarding any email address or data updates to the Operations team to ensure the Museum’s database of supporter information is accurate, creating and amending records as needed.
- Regularly updating the Event Assistant and Event Manager with parking requests, dietary and access requirements.
- Updating guest attendance and seating on Raiser’s Edge post-event.
This administrative role plays a vital part in the preparation of significant high-profile events. Your attention to detail when managing the guest list process is essential. You will be relied on to record incoming information, ensuring all the records are up to date, in addition to liaising with event guests.
