Our client, a renowned architectural firm based in Bristol, requires a Team / Recruitment Coordinator to provide first class support to project leaders and project teams. This is a permanent full time role working 9-6, in the office 4 days per week and working from home 1 day per week. The position is responsible for providing first class support as well as coordinating meetings and general operational support, alongside end-to-end recruitment coordination. This role will work closely with Project Teams, Team Coordinators, the HR Department, hiring managers and individual employees. You will liaise with the London teams in addition to the teams in Bristol.
The main Team Coordinator duties are:
- Management of diaries for the Architects
- Inbox management for the Director
- Acting as first point of contact
- Arranging meetings, booking venues, refreshments, and equipment
- Creating and formatting project-related correspondence including letters, memos, minutes, reports, agendas and certificates
- Assist project teams with reports, bids, presentations, and design documentation, including formatting, proof-reading, and sourcing project information
- Support operational and financial processes, including expenses and purchase orders
The main Recruitment Coordinator duties are:
- Posting approved job adverts and liaising with recruitment agencies
- Acknowledging applications
- Managing the applicant tracking system (ATS)
- Liaising with candidates and interviewers
- Co-ordinating interview logistics and preparing/distributing interview packs
The successful candidate will be educated to A-Level standard or equivalent and have 1-2 years proven team support/secretarial experience. You need to have strong verbal and written communication skills, strong organisational skills with the ability to co-ordinate numerous tasks simultaneously and have a keen eye for detail. You need to be proactive, with the ability to deal with issues before they arise, meeting constantly changing deadlines. You need to be motivated, flexible with a calm cheerful and helpful personality, a strong team player who works well under pressure in a fast-paced environment. You must have excellent IT skills including advanced knowledge of Microsoft packages with fast, accurate touch typing.
